ABOUT THE POSITION

The Workplace Operations Coordinator is responsible for day-to-day interactions with various employees, contractors, and vendors regarding facilities projects throughout VHB’s Northeast and Mid-Atlantic the region. Within this fast-paced environment, this position must handle multiple service ticket requests and assignments and meet designated deadlines with great attention to detail and capital expenditure. Projects may also include coordinating minor construction, renovation, and preventative maintenance activities.

 

With this opportunity comes the responsibility of keeping our locations fully functional. It also requires providing the Workplace Operations Manager with input in the planning and design of preventative maintenance programs. This position requires exceptional communication and organizational skills, frequent travel, a flexible schedule, and the ability to work with a variety of internal and external stakeholders and suppliers.

 

Responsibilities

Act as primary contact for operational facility issues and requestsConduct routine facility inspections to determine areas for serviceTravel to offices within the region, occasionally require overnight stayCoordinate and assist in departmental and employee movesProvide hands-on support for basic maintenanceEngage approved vendors as needed to complete repairs for electrical, plumbing, HVAC and other mechanical systemsEngage necessary internal departments such as IT Services, Building Technologies, and Corporate FacilitiesEnsure timely follow up and work order completionProvide backup to manager for all sites as necessaryPerform other functions as assigned

Skills and Abilities

Ability to travel to various office locations as neededAbility to work on a flexible schedule, including nights and weekendsAbility to prioritize and manage multi-functional tasksAbility to work effectively under pressure, and against strict time constraintsAbility to make decisions or solve problems by using logic to identify key facts, explore alternatives, and propose quality solutionsAbility to read and interpret construction documents/proposals and build strong relationships with contractors/vendorsKnowledge of building systems (electrical, HVAC, plumbing, fire protection and security).Excellent verbal, written and interpersonal communication skillsTeam oriented with strong capability to work independentlyMotivated to lead and mentor others

Qualifications

3-5 years experience in an office operations/facilities roleHigh School Diploma or GEDValid driver’s license and reliable transportation for travel to regional offices as needed

Our best estimate of the salary range for this position, located in New York City, NY is $38.00/hourly-$55.00/hourly The final compensation will be based on a variety of factors such as location, individual qualifications, education, and experience.
