TITLE: Vice President, Human Resources and Facility Operations REPORTING RELATIONSHIP: Chief Administrative Officer JOB OVERVIEW: Provide strategic oversight and leadership for developing and implementing strategies to advance the American Academy of Pediatrics (AAP) Human Resources (HR) and Facility Operations initiatives. Serve as a trusted advisor and partner to the senior leadership team in supporting and advancing the strategy, mission, and culture of AAP and driving organizational change. Responsible for the effective development, management, and delivery of all HR and Facility Operations initiatives, including talent acquisition and retention, staff and leadership development, succession planning, performance management, employee engagement, culture, diversity, compensation, benefits, rewards and recognition, employee relations, budgeting, workforce planning, training, and legal compliance. Provide strategic direction and oversight for all facility operations, including building engineering, space planning, capital budgets, building and grounds maintenance, reception, in house meeting support, safety, security, shipping/receiving, in-house print center, and mail room support and services. Direct and maximize the use of HRIS and other technologies to drive strategy and streamline processes. DUTIES AND RESPONSIBILITIES: 1. Develop an integrated HR strategy to enhance the AAP’s ability to attract, develop, and retain a highly qualified, motivated, diverse, and effective workforce. 2. Provide strategic direction on the oversight and maintenance of the AAP Headquarters facility operations to ensure the work environment supports health, safety, and wellness standards and provides a secure state of the art, fully functional complex for staff, members, and guests. 3. Provide strategic direction and oversight on the ongoing design, enhancement, and administration of all compensation, retirement, health, and benefit programs to ensure market competitiveness and alignment with the AAP mission and objectives. 4. Lead and foster a positive organizational culture that supports employee engagement, development, and productivity, providing strategic oversight and guidance of engagement surveys for leaders. 5. Supervise and mentor staff. Encourage a work environment that promotes inclusion and belonging of all staff. Support ongoing staff development, ensure staff operate in a fiscally prudent manner, maintain confidentiality, operate with high ethical standards, and provide excellent service to staff. 6. Ensure staff compliance with federal, state, and local laws and regulations related to all HR and facilities compliance. 7. Oversee the development and implementation of strategic equity, diversity, and inclusion (EDI) staff initiatives to promote inclusion and equity within the workplace. Serve as a leader in advancing EDI initiatives across the AAP to ensure an equity lens is applied to initiatives. 8. Oversee employee relations matters, including conflict resolution, disciplinary actions, and performance management. Serve as a key contact with AAP legal counsel on all employee legal matters. 9. Provide strategic direction for leadership and staff professional development and coaching to support continued learning opportunities and growth for all staff. 10. Oversee the strategic direction of talent acquisition initiatives to ensure a diverse and highly qualified workforce. Partner and collaborate with senior leaders to assess and define workforce planning strategies. Ensure job descriptions are accurate and internally equitable. Implement recruitment branding strategy that promotes AAP diversity and inclusion efforts. 11. Establish clear and consistent workplace protocols and practices that foster belonging, emphasize service excellence, raise employee engagement, and optimize productivity. 12. Develop and manage an integrated and effective HR technology strategy, leveraging systems and platforms to effectively deliver and communicate programs and services, including compensation and benefits, employee information, performance management and development, and recruitment/talent management. Ensure data integrity and systems reliability. 13. Work closely with the SVP, Information Technology to ensure connectivity and compliance with the AAP infrastructure. 14. Oversee collaboration with Convention and Meeting Services and Information Technology staff on in-house meeting support and reception support. 15. Develop and implement strategic HR process improvement opportunities to streamline and automate operations leveraging the use of technology platforms. 16. Oversee the negotiation of all benefit contracts and provider selections to ensure high-quality cost-effective programs and services to meet the needs of a diverse employee population. 17. Oversee the management of vendor relationships and contracts related to facilities ensuring service levels are high and costs are controlled. 18. Develop a strategy for robust communications to ensure timely and proactive sharing of information on HR, Facility operations, and other key AAP initiatives. Oversee management of emergency broadcast system. 19. Work closely with the Chief Financial Officer and the Finance team on budget management, system integration, payroll administration, benefits, and compliance with applicable federal, state, and local regulations and AAP policies. 20. Develop and manage assigned budgets ensuring cost effective management of resources. Monitor budget projections and variances and make recommendations and plan adjustments to ensure financial targets are met. Work closely with the Chief Financial Officer and SVP, Information Technology to manage and maintain AAP capital budgets and expenditures. 21. Oversee the development and administration of employment policies to ensure alignment with the organization's mission, values, and strategy. Ensure compliance with and equitable application of organizational policies and procedures. 22. Serve as advisor and lead staff support for the AAP Human Resources Advisory Committee. Oversee and lead monthly meetings, agenda development, supporting documentation, and follow up communications. 23. Collaborate with other departments to ensure facility needs are aligned with business objectives and operational requirements. 24. Implement and manage sustainability initiatives to reduce the environmental impact on facility operations. 25. Oversee the design and development of in-house printing and the mail/shipping center. Recommend cost effective print solutions and mail/shipping services. 26. Perform all other duties as assigned. REQUIRED QUALIFICATIONS: ⦁ Bachelor's degree in human resources or related discipline or equivalent experience. ⦁ At least 10 years of progressive HR leadership work experience. ⦁ Experience supervising staff. ⦁ Must have proven agility and ability to roll up sleeves and drive meaningful impact. ⦁ In-depth knowledge and familiarity of core functions within HR, including organizational development, HR systems/technology, employee relations, talent management/acquisition, compensation and benefits administration, employee engagement, training and development, and EDI initiatives. ⦁ Knowledge of HR related laws, regulations, and compliance requirements with the ability to mitigate risks and ensure legal compliance. ⦁ General experience with facility management and operations with an understanding of health, safety, and environmental regulations. ⦁ Budget management and variance reporting experience. ⦁ Demonstrated ability to maintain confidentiality and handle sensitive information. ⦁ Exceptional written/verbal communications, interpersonal, and diplomacy skills with the ability to build and maintain effective relationships with leaders, staff at all levels, and external partners as well as the ability to engage in successful negotiation, counseling, and consensus building. ⦁ Ability to resolve conflicts in a fair and impartial manner. ⦁ Strong presentation skills with the ability to convey complex information clearly and persuasively. ⦁ Strategic and innovative thinker with the ability to solve problems, execute initiatives, synthesize, and translate data into actionable outcomes and align HR initiative with the AAP’s mission, values, and strategic goals. ⦁ Demonstrated track record in leading change with an ability to articulate the strategic importance of human capital in an organization’s success. ⦁ Experience in building high-performing teams and developing talent through coaching, mentoring, and training programs. ⦁ Demonstrated willingness to embrace innovative ideas and approaches. PREFERRED QUALIFICATIONS: ⦁ Master’s degree or SPHR, SHRM-CP certification. ⦁ Experience in non-profit management. Hybrid work environment of 40% of work time in the office per month.
