Vocational Support Specialist

Job Summary:

Responsible for verification of disabilities initially and annually for all applicants/employees with disabilities. Responsible for preparation of documents, policies, and procedures as requested. Position requires a detail oriented, self-starter with strong communication skills, strong analytical skills, an understanding of medical terminology, diagnoses and documents, and compassion and respect for persons with disabilities. Position involves extensive travel both in and out of state.

Essential Functions:

Read, analyze and verify acceptability of disability documentation presented by candidates Request follow-up and supporting documentation Meet with employees and supervisors at work sites to set goals and understand job limitations and supports needed. Site visits will involve regular travel both in-state and out-of-state Evaluate employee requests and wishes for advancement, training, or job changes Work with management to help employees meet goals through training and one on one support. Contact healthcare practitioners/physician offices or candidates for additional information Request documentation from employees who provided none but indicate a disability Collaborate with site project manager to ensure accurate documentation and timely submission of questionnaires for initial/annual Individual Eligibility Evaluations Prepare and provide training for sites on documentation requirements Maintain spreadsheets of due dates for all reports Prepare and disseminate monthly (weekly) memo of due dates to sites Research and resolve any issues related to inaccurate or questionable information submitted by contract site in reference to verification of disabilities Write initial and annual Individual Eligibility Evaluations for all qualified employees Based on information gleaned from site visits and eligibility evaluations, make recommendations about employees ready to more into more competitive environments(CIE) Work directly with Employment Services Senior Manager on placement for CIE Assist Employment Services Senior Manager in finding competitive positions Input disability status in UltiPro for all new hires or rehires Annually, determine eligibility and change status in UltiPro with approval if no longer eligible Relate status changes to non-disabled to Employment Services Senior Manger File all disability documents and Individual Eligibility Evaluations in UltiPro Perform self-audits of medical documentation and IEE’s regularly, at least quarterly Request employees provide updates to out of date or no longer acceptable documentation Maintain working knowledge of government regulations related to employment of persons with disabilities Maintain working knowledge of AbilityOne regulations Be aware of requirements for CIE and WIOA Participate in audits of employee files by government agencies Create and prepare reports and special projects as directed Gather data from numerous sources and compile it into understandable formats Comply with all Agency policies and procedures and follow contract specifications Establish and maintain positive relationships with customers, co-workers, and public Attend meetings and training as required Pass and comply with CPR/First Aid training and OSHA training Comply with and ensure staff compliance with all building and security requirements

Secondary Functions:

Perform site visits for training/review and other purposes as directed Gather Self- ID information from all employees biennially Survey processes for OFCCP and DOL compliance efforts Assumes other duties, responsibilities, and special projects as needed

Physical Abilities Needed to Meet Work Demands:

Ability to sit for long periods of time Ability to visit sites and walk steps and long distances Ability to lift, carry, and push up to 25 lbs. as needed Ability to file documents in file room Ability to see details on the floor, above the head, or on surfaces

 Other requirements: 

Valid driver’s license from state of residence and ability to drive License must have been valid for at least 3 years If driving a 15 passenger van, must be at least 25 years old Acceptable driving record as determined by Agency’s insurance carrier and by Chimes DC policies and procedures

Essential Personnel:

This position is designated as essential.  This means that when the facility is faced with an

institutional emergency, employees in this position may be required to remain at  their

work location or to report to work to protect, recover, and continue operations at the facility.

Education:

College degree in Nursing, Social Work, Board Certified Behavioral Analyst or related clinical field from an accredited institution Training or experience in medical field or social work required Knowledge of medical terminology and various disabilities required Proficient with Outlook, Excel, PowerPoint, and Word Strong oral and written communication skills

Experience:

Four (4) years work experience in clinical or clinical administrative setting Knowledge or experience with AbilityOne documentation requirements a plus Spanish bi-lingual preferred Demonstrated ability and knowledge of computer operations Experience with government compliance preferred
