Position Title: Facilities Maintenance
Reports To: Hospital Administrator

Job Summary:
This position is responsible for performing a range of skilled tasks and providing oversight in the maintenance, repair, and general upkeep of the hospital’s facility systems and equipment. These systems include plumbing, electrical, HVAC, medical gas systems, generators, boilers, water softeners, humidifiers, medical waste disposal, and turf maintenance.
The role plays a critical part in ensuring a safe, clean, and comfortable environment for associates, clients, and patients. This includes maintaining the physical integrity of the facility, managing preventative maintenance schedules, and responding promptly to repair needs or system issues. The position ensures that all facility equipment remains in good working condition, supporting the hospital’s operations and overall safety standards.
Knowledge, Skills, Abilities:
Solid understanding of plumbing, electrical, HVAC, roofing, and general facility maintenance practices
Ability to read and interpret blueprints, schematics, and technical documents
Proficient in the use of hand and power tools required for maintenance and repair work
Strong problem-solving and troubleshooting skills with the ability to think critically under pressure
High attention to detail and ability to prioritize tasks in a fast-paced environment
Physical capability to perform hands-on tasks including climbing ladders, lifting heavy objects, and working in confined spaces
Strong administrative skills for managing vendor communications, maintenance records, and service scheduling
Excellent verbal and written communication skills to effectively discuss and document maintenance issues
Highly organized with strong time management and multitasking abilities
Education and Experience:
High school diploma or equivalent
2 years of experience in facility or hospital maintenance preferred
Physical Requirements:
Dependable attendance is required
Any allergies to animals must be controllable through medication
Must be able to lift 40 pounds
Must be willing to work long or irregular hours under pressure conditions
This position requires the ability to walk, bend, stand and reach
Visual acuity sufficient to maintain accurate records, recognize people and understand written directions.
Ability to speak and hear sufficiently to understand and give information in person and over the telephone
Duties:

Preventative Maintenance – Conduct regular inspections and routine maintenance to ensure facility systems and equipment remain in optimal condition.
Repair Work – Diagnose and resolve mechanical, electrical, and structural issues throughout the facility.
General Upkeep & Building Safety – Maintain a clean, functional, and safe environment for patients, staff, and visitors, ensuring compliance with safety codes and standards.
Emergency Response – Respond promptly to urgent maintenance situations and facility-related emergencies.
Documentation & Record Keeping – Maintain accurate records of maintenance work, inspections, equipment logs, and service reports.
Vendor/Supplier Relations – Coordinate with third-party vendors and suppliers for service calls, equipment purchases, and facility needs.
Preventative maintenance:
Regularly inspect HVAC systems, plumbing fixtures, electrical systems, fire safety equipment, and other building components to identify and address potential issues before they escalate.
Coordinate with vendors and service providers to ensure all scheduled preventive maintenance is completed on time and in full compliance with operational and safety standards.
Repair work:
Respond to maintenance requests submitted through the electronic work order system, clearly communicating the plan for resolution and confirming completion of each request.
Coordinate repair services covered under warranty or vendor responsibility by liaising with appropriate suppliers and service providers.
Perform general facility repairs, including patching and painting, replacing carpet squares, ceiling tiles, and addressing other routine maintenance needs to keep the building in top condition.
General upkeep and building safety:
Maintain the cleanliness, orderliness, and safety of all common areas and facility spaces to ensure a welcoming and secure environment.
Promptly inform the Hospital Administrator and Medical Director of any unsafe conditions, potential hazards, or violations of safety protocols.
Collaborate with the Risk & Safety Coordinator to perform monthly building safety inspections and follow up on any findings.
Stay informed of and ensure compliance with OSHA and AAHA standards and regulations.
Support and promote environmentally friendly practices, helping the hospital operate as sustainably as possible.
Emergency response:
Respond promptly to urgent maintenance issues such as water leaks, power outages, and malfunctioning HVAC systems, coordinating with vendors for emergency dispatch when needed.
Monitor and address facility-related safety and security concerns to ensure the well-being of staff, patients, and visitors during emergency situations.
Documentation and record keeping:
Maintain accurate and detailed records of all maintenance activities in alignment with VCA’s maintenance guidance and compliance requirements.
Collaborate with Leadership and other Associates to ensure all facility maintenance tasks outlined in guidance are properly addressed and tracked.
Monitor supply levels and communicate inventory needs for cleaning and repair materials in a timely manner.
Exercise sound judgment and uphold high fiscal responsibility when evaluating and selecting vendor services and supply options.
Vendor/Supplier Relations:
Coordinate with external contractors and vendors for complex repairs or maintenance tasks that fall outside the scope of internal capabilities.
Review and understand vendor contracts, ensuring compliance with the terms and holding vendors accountable for fulfilling their responsibilities as outlined in facility agreements.
