As a Variable Incentive Operations Specialist, you will be a key player in the day-to-day operations of our Variable Incentive Plan (VIP) program. You will be responsible for processing quarterly payouts and monthly accruals, working with incentive tools like CaptivateIQ (CIQ) and Excel-based models. You will collaborate closely with Finance, HR, Analytics, Payroll, and Commercial teams to manage accrual buffers, exceptions, pay-files, and statements. You'll also contribute to analysing plan trends and identifying opportunities to drive sales team performance in line with the sales strategy.

What You'll Do:

Own the Payout Process: Manage the end-to-end quarterly VIP payout process for assigned Lines of Business (LOBs), ensuring accuracy and adherence to deadlines. This includes liaising with Analytics to finalize attainment figures, running payout processing in CaptivateIQ or Excel, and creating pay-files for payroll.

Drive Monthly Accruals: Oversee the monthly accruals process for designated LOBs, working with Analytics to finalize attainment figures, running accrual processing, and creating accrual files and summaries for Finance and Accounting.

Manage Exceptions Effectively: Take ownership of the exceptions workflow for assigned LOBs, managing ServiceNow/JIRA tickets, communicating outcomes to requestors, and working with Analytics, HR to gather details and impact assessments.

Configure and Maintain Incentive Models: Assist to configure changes in VIP Excel models and CaptivateIQ, including testing and implementing changes to payout and accrual configurations based on evolving KPIs, VIP terms and conditions.

Support Internal Audits: Provide information and documentation to support internal audit requests related to the VIP program.

Analyse performance: Analyse the payout distribution and historical trends to capture insights on VIP plan performance, costs and suggest potential improvements.

Collaborate with Key Stakeholders: Work closely with the VIP SME Group to capture plan changes, Finance to align on exception frameworks, Analytics to obtain attainment data, HR Ops to confirm HR exception scenarios, and the CIQ Tech Team to test and roll out model configuration changes and bug fixes.

What You'll Bring:

Excel Expertise: Advanced proficiency in Excel, including lookups, pivot tables, references, and distribution charts.

Ticketing System Experience: Experience using ticketing systems like JIRA or ServiceNow for assigning, reviewing, decisioning, and closing tickets.

MS Office / 365 Proficiency: Proficiency in using MS Office/365 tools (Word, Outlook, SharePoint files and folder structures)

Strong Communication Skills: Excellent written and verbal communication skills, with the ability effectively communicate with stakeholders and leadership.

Attention to Detail: A keen eye for detail and a commitment to adhering to operational processes, relevant terms and conditions, deadlines.

Ability to maintain confidentiality: Must be able to handle sensitive information with discretion and maintain confidentiality

Good to have: Experience with SQL, data modelling, relational databases and reporting & visualization tools (like Tableau) for data analysis.

Adaptability: Ability to learn and adapt to new tools (commission platforms) and improve existing models.
