Training Administrator: Two - year contract (Internal Applicants Only)

Provide administrative support to the Director, Operations Manager, Training Supervisor and Training staff where necessary on training related matters. The Training Administrator will work very close with the Operations Administrator on student support matters with respect to the recruitment process, OHS matters and uploading of student on the QCTO portal, GWO matters. Maintain training schedules, course rosters, and learner attendance records. Handle student enrolment, registrations, and day-to-day communication. Assist in the coordination with respect to the preparation of training materials and documentation. Coordinate meeting schedules, bookings, and logistics for training sessions. Ensure proper filing, storage, and retrieval of training records. Liaise with internal and external stakeholders for training-related activities including the renewable energy industry players on skills development. Monitor and replenish office supplies for the training department. Perform general office duties, including answering calls and emails. Assist in preparing reports and tracking training metrics as required. Monitor and update the training department's section on the SARETEC website, ensuring accuracy and relevance of content. Maintain and track records for compliance with QCTO, ISO 9001, GWO, and other relevant external audit bodies. Assist in compiling and organizing documentation required for audits and accreditation processes. Coordinate the diaries and appointments for management with respect to training matters where necessary especially where it requires the Director, Operations Manager and Training Supervisor. Coordinate internal and external meetings, ensuring that the Operations Manager's schedule is optimized. Supervise the Training Assistant Prepare and distribute meeting agendas, oversee the finalisation of the meeting minutes by the Training Assistant, and follow-up actions for the Operations Manager, Director and Training Supervisor where feedback or actions are required. Assist with the creation, maintenance, and management of the training timetable to ensure effective scheduling of courses, trainers, and facilities.
