Job Description:

To provide professional customer service and administrative assistance as the first point of contact for clients, partners and stakeholders of World Vision Lesotho. The incumbent is also responsible for creating a welcoming environment that leaves a good, long-term impression on our partners through effective administrative assistance.

Customer Service and Telephone Services (40%)

Oversee the maintenance of the system, notifying the service providers immediately of any problems with the telephone lines or with the operating system.Welcome clients, beneficiaries, partners and stakeholders before they are redirected to relevant departments; Attend to customers and accommodate them at the reception while they await appointments;Handle incoming calls within a reasonable time and direct them to the relevant offices for action; Partner with the security team at the gate to effectively control visitors’ movements and support with inter-telephone service; Receive documents which may be delivered to the office, ensuring that these are distributed to the respective addresses on time.

Administration Support (30%)

Provide several administrative support duties that keep the office running efficiently;

Review monthly telephone bill and apportion per department for payment process;

Receive all National invoices from suppliers manually and send to Finance for payment;

Receive utilities orders and invoices in the system (Provision) to ensure timely payment;

Consolidate requisitions for office supplies and stationery from all departments for sourcing in Provision;

Support workshop administration and meetings as required.

Office and Supply Maintenance (30%)

Provide support to the Office Assists to ensure timely office cleanliness;Assist with taking inventory of office suppliers and checking availability;Assist with the implementation of safety and security measures across the office.

*Perform any other duties as assigned.

QUALIFICATIONS AND EXPERIENCE

Must have B.A degree in Business Administration/Business Management, Office Administration or equivalent relevant fields;

Three-years’ experience in Administrative work, preferably with NGOs;

Must have working knowledge of office switchboard system;

Must have good computer skills;

Good Communication and interpersonal skills are essential.

Work Environment:

Remuneration: Competitive with market standards
