Employment Category Temporary Job Summary This recruitment will be used to fill one full-time Temporary Project Coordinator position for The Valley Library at Oregon State University ( OSU ). This position is responsible for the implementation and completion of building-related projects or assignments. The program specialist will plan and execute a series of non-sequential steps to complete projects and will have the authority to make adjustments to plans as needed. They will operate independently within broad guidelines set by the Library Spaces Manager. They will consult as needed with the Library Spaces Manager, Student Employment & Facilities Coordinator, the Administrative Services Director and the Dean of Libraries. Why OSU? Key Responsibilities 85% Project Coordination + Compiles information and assists with project timelines, provides detailed reporting and progress on a regular basis, ensures compliance to program or operation rules, policies, and procedures, as well as quality standards and applicable state/federal law. + Reviews project assignments to determine scope and diversity of involvement, training and resources needed, necessary contacts and required procedural administrative actions, reviews existing methods and procedures, and modifies as necessary to accomplish assignment; identifies potential difficulties and determines means of lessening or avoiding them. + Develops procedures necessary for work completion, efficient workflow and/or service delivery within the institution and/or with vendors or contractors; within specified deadlines. + Monitors project status to ensure progress toward completion, required procedural steps are completed fully and timely, keeps interested groups and individuals informed of progress, and project output as appropriate; modifies project plan and coordinates changes with participants as necessary in response to unforeseen changes or unexpected developments. + Upon project completion, closes files and reviews records to ensure documentation is appropriate and complete. + Monitors work of contractors; estimates time, materials, and staffing needs for assigned projects; requisitions materials and supplies; monitors costs and work timelines; ensures modifications meet facility needs and safety standards. + Coordinates moves, remodels, construction, renovations, room upgrades, repairs, or major maintenance projects as assigned. Creates and/or updates space layouts and design drawings. 10% Clerical + Gathers, scans, and organizes documentation for projects as assigned. Maintains project details in spreadsheets to include progress, expenses, vendor orders, contractor assignments, and associated details on multiple projects. Processes procurement requisitions and tracks progress. Submits invoices for payment processing. 5% Support Coordination + Provides lead work for student support to include assignment of duties. Places requests for and schedules student worker assistance based on project needs. What We Require Four years of experience as an executive assistant, administrative analyst, researcher or administrative officer which included administrative duties, provision of technical assistance, or operations review. Two of the required years must have included administration or oversight of an on-going project or program. A Bachelor’s degree in Business Administration, Management, Public Administration or a closely-related field may be substituted for up to two years of the required experience. There is no substitution for the two years of administrative experience. Preference may be given to individuals with experience in a specialty area specific to the position opening. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months. What We Would Like You to Have + Experience as the main point of contact for a service or building in the absence of/or acting as a manager or supervisor + Experience managing multiple and/or simultaneous projects + Basic knowledge of Computer Aided Design program(s) + Basic knowledge of OSHA rules and regulations + Prior experience working with contractors/vendors Working Conditions / Work Schedule Work is frequently performed independently and reviewed by a supervisor through regular informal conversations or as problems occur. Completed work is reviewed for accuracy, adherence to deadlines, and conformance to state and federal laws, OSHA Administrative Rules, and institution policies and procedures. Regular hours are M-F hours between 8am-5pm.
