Toll Brothers, America's Leading Builder of Luxury Homes, seeks a Team Leader, Purchasing Shared Services for our team at our Corporate office in Fort Washington, Pennsylvania.
What is the opportunity?
The Team Leader, Shared Services is responsible for ensuring data is setup consistently, accurately and timely to generate contracting documentation, purchase orders needed for home construction, and business reporting. This role leads a team of up to 10 direct reports through training and coaching to provide business support to generate bid spreadsheets, load bid data, and process contract documentation. The Team Leader, Shared Services must have strong customer service skills, the ability to redirect team priorities when needed, experience managing data in a robust collaborative platform, and purchasing experience.
What are the primary responsibilities?
People and Talent ManagementManage a team responsible for consistent, enterprise-wide setup, to reduce maintenance and troubleshootingManage team priorities and balance workload, assessing the day-to-day situation and providing guidance when priorities need to changeCoach new team hires and assist with training as neededIdentify performance gaps and training needs; help develop performance and training plansProvide training sessions to address areas of improvement or new processes to be implementedIdentify Shared Services Team challenges and work with Manager, Shared Services and Division Purchasing leaders for resolution and to improve partnershipsReview monthly reporting and metrics to hold team accountable to objectives and identify opportunities to improve efficiencyPartner with Division Purchasing to ensure information is being provided in approved formatsPurchasing System Use and SupportAdhere to deadlines to ensure timely and accurate trade partner purchase orders and reportingEnsure accuracy and consistency through review and audit
Master construction agreements, scopes of work, bid contract confirmation documentsTrade partner bid, takeoff, and Division/community Supplier Assignments data loadsContract changes and updates to purchase orders to ensure cost and trade partner accuracyValidation reporting to Division Purchasing teams to confirm data accuracyContracting documentation processed through DocuSign for signature by trade partner and Toll BrothersContract and supporting bid documentation storage adheres to current national guidance (e.g. FEITH, SharePoint, etc.)Assist with Lot Start and Commitment Generation process to provide accurate purchase orders to trade partners
Review tasks in the Lot Start Workfile for accuracy in quantity, pricing, trade partner assignmentNotify Division Purchasing team of missing/incorrect information to proactively maintain complete and accurate bid dataConfirm data successfully integrates with Production BuildPro softwareResearch and provide information on trade partner payment inquiries; interface with Accounting as neededEnsure vendor insurance information is current and accurate
Notify trade partners of impending insurance expiration, including instructions on how to provide updated insurance certificates
