Supply Chain Management Administrator (“SCM Administrator”)

Purpose of the role:
As a SCM Administrator, you will be responsible for administering the supply chain management process forming part of the contract management policy as well as providing other legal and contractual related administration and support to the Legal/Contract Manager and the Head of Group Legal.

Essential Functions:
• Going to market with requests for proposals and requests for quotations to obtain competitive service offerings of potential vendors/service providers based on FMB’s business needs;
• Review and approval of business cases in respect of all future projects, products or processes to be employed;
• Review of monthly service level management reports in respect of service providers;
• Record keeping of monthly service level management reports;
• Service level management on the contract and matter management software being used within the Legal Department – each potential contracting party must be added as a “new matter” and subsequent management must be conduct on the software from vetting, onboarding, contracting and service management;
• Comparing services provided to terms of service stipulated in SLAs as part of service provider performance review;
• Ensuring that no contract is drafted or concluded without the necessary counterparty due diligence first having been performed by the Compliance Department;
• Ensuring that the Procurement Department is furnished with the necessary onboarding documents in respect of a new supplier before any contract is drafted or concluded;
• Record keeping of due diligence documents in respect of new vendors or other contracting entities;
• Assisting Legal/Contract Manager to ensure compliance with contract management policy;
• Ensuring that non-disclosure agreements are concluded with every entity FMB wants to contract with;
• Assisting with drafting of non-disclosure agreements;
• Assisting with review and vetting of FMB branch lease agreements;
• Assisting with the review and vetting of service level agreements;
• Making recommendations to the Legal/Contract Manager for the drafting of new service level agreements in line with approved business cases and contractual negotiations;
• Assisting Business and Operations to enhance and optimise processes, products and services provided by the bank;
• Ensuring that there’s no potential conflict of interest and that interests of business owners are declared subsequent to the adoption of any new project, process, product or service;
• Ensuring transparency in onboarding of new vendors by confirming that at least 3 vendors form part of the selection process in accordance with set selection criteria;
• Coordinating day-to-day administration of contracts and other legal matters;
• Assisting Legal/Contracts Manager in ensuring that contract information is accurate and current;
• Documenting contracts in contract register;
• Recording signed contracts on the contract management software;
• Timeous communication of contractual deadlines to the Legal/Contract Manager;
• Submitting reviewed contracts to the appropriate authorities;
• Transmitting contracts and other documents to signatories for electronic signing thereof.
• Submitting legal invoices for approval and payment;
• Proper record keeping of legal invoices and accounts;
• Setting up meetings on request from the Head of Group Legal and/or the Legal/Contracts Manager;
• Management of document administration within the legal department;
• Assisting with matter management of all legal matters on the contract and matter management software;
• Data migration of historical data within the legal department to the contract and matter management software;
• Rendering general support to the Head of Group Legal and Legal/Contracts Manager; and
• Assisting with any other tasks the Head of Group Legal or the Legal/Contracts Manager might need assistance with.


Qualifications:
BCom Law/BCom SCM Degree or similar qualification
