Position Summary Provide secretarial and administrative support to the Environmental Services Department and perform daily routines such as controlling the management of the Environmental Services office. Dealing with enquires from internal departments and external vendors and ensuring points are auctioned in a timely manner. Managing appointments, organizing and maintaining paper and electronic files, or providing information to callers.Primary Responsibility • Directly supervise and assigns duties/ responsibilities to the coordinators and storekeeper to ensure the delivery of efficient administrative support to department; • Implement the Department and Specific Operating Procedures to ensure maximum comforts to the department; • Answering telephone calls per the hotel standard; • Input and monitor of engineering request; • Input data for weekly requisitions; • Prepare Purchase Requests; • Deal with enquiries from internal co-workers and outside vendors; • Responsible for providing full spectrum of professional secretarial and administrative support including but not limited to manage executive calendar, agenda of meetings, meeting notes, routine correspondence as well as preparing business reports and correspondences for the department head. Make copies of correspondence and other printed material; • Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs; • Maintain scheduling and event calendars. Coordinate conferences and meetings; • Schedule and confirm appointments for internal clients, customers, or managers; • Set up and maintain paper and electronic filing systems for records, correspondence, and other material; • Operate electronic mail systems and coordinate the flow of information both internally and with other organizations; • Conduct proper shift hand over and communicates with fellow colleagues; • Maintain a clean and tidy working environment. • Maintain a professional working relationships with all colleaguesRequirements • College graduate or above; • Minimum 3 years solid working experience in administrative support role; • Good communication and organizational skills; • Solid negotiation skills; • Must be able to get along with co-workers and work as a team. Team building and problem solving skills are required
