Essential functions (job duties):
Oversees the day-to-day workflow of the Department of Art, Art History & Design within the College of Fine, Performing and Communication Arts (CFPCA). Serves as the key contact person for external constituents conducting business with the department and for faculty and staff seeking assistance with the University's internal processes.
Supervise and participate in the processing of university paperwork including personnel, payroll, travel reimbursements, guest artists, awardees, and special guests. Prepare class scheduling, including coordinate scheduling, room changes, liaison to scheduling.
Supervise, train and coordinate clerical/technical support staff, student assistants and temporary employees. Assign tasks to appropriate staff. Develop standard work procedures where appropriate. Review, monitor and evaluate work performance. Coordinate work schedules, vacation days and lunch hours for clerical student assistants and temporary staff.
Maintain faculty and staff personnel files and departmental records; supervise the maintenance of student files. Prepare departmental activity reports and analysis, including surveys, grants proposals and reports. Maintain all student activity awards and supporting documentation.
Represent the department to other University personnel, outside agencies and professional groups. Participate on various committees and attend meetings. Serve as key resource person resolving problem and answering questions as they arise.
Monitor and supervise the maintenance of equipment, materials, supplies and the ordering of supplies. Oversee the maintenance and repair of office equipment. Serve as the liaison with Facilities, Planning, and Management regarding the maintenance issues with offices and classrooms.
Respond to inquiries relative to operational activities. Identify and resolve problems as they occur; ensure operations are conducted in accordance with university policies and procedures and assist in improving operational efficiencies.
Assist in budgetary/personnel activities. Monitor various account sources; maintain related reports and records; prepare and process University forms and related paperwork actions; utilize appropriate university systems (e.g., HRMS, FMS, EPAF).
Assist in departmental searches, including scheduling of interview appointments and travel arrangements. Generate faculty search budget reports. Coordinate reservation and catering for academic unit special events.
Perform other related duties as assigned.
Qualifications:
Education: Bachelor's degree
Experience: Intermediate (3 to 4 years job-related experience)
Knowledge, Skills, and Abilities:
Comfortable with a variety of computer programs (including Microsoft, Excel and Work, PowerPoint, Canvas)
Ability to learn computer applications quickly.
Excellent written and oral communication skills.
Attention to detail.
Ability to work independently while establishing and maintaining effective working relationships with a wide variety of constituents.
Ability to work through others and make appropriate interventions to ensure workflow is efficient and adequate resources are available.
Possesses the ability to effectively serve on University committees and task forces. Encourages collaboration and seeks feedback.
Demonstrate an ability to share organizational knowledge with peers to support their personal development within the institutional framework.
Ability to shift priorities and multi-task on various projects.
