The role you’ll contribute:
The Study Intake Support Specialist will assist the Study Intake Manager in the startup of Phase I-IV industry-sponsored and investigator-initiated clinical trials in accordance with trial protocols, FDA Regulations, and ICH/GCP Guidelines. The Study Intake Support Specialist is immediately accountable to the Study Intake Manager and works with them and other study team members to meet study-specific goals and timelines and communicates appropriately and effectively with other members of the study team (both internal staff and external collaborators). Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

Collect site information including available services (i.e. laboratory, infusion suites, pharmacy, radiology), main contacts, etc.
Submit onboarding request for staff to complete AH required research trainings
Organize study documents received into study cabinet and verify receipt of necessary documents
Enter studies into the Master Study Database and verify enrollment numbers with site(s).
The Study Intake Support Specialist is responsible for accurate and timely submission or filing of data forms including Research Review Agreement (RRA), site contact forms, Electronic Medical Record Questionnaire (EMRQ), Source Data Location form and other forms as determined by study intake Manager.
Supports the Study Intake Manager by assisting with completion of regulatory onboarding form, ensuring maintenance of proper research certifications; project timeline updates; uploading documents to IRBNet. Enters and updates information into the database for tracking. Assists study intake manager with Shared Investigator Portal profiles.
Supports the intake team by creating/maintaining accurate files; taking minutes in study intake led meetings when needed, use of DocuSign, uploading, and emailing documents as necessary; and being proactive in process improvement ideas.
Communicates appropriately and effectively with Internal AdventHealth team and external stakeholders as requested by Study Intake Manager.
Conforms to all standards of good research practice and abides by current IRB, FDA, federal, state and institutional regulations pertaining to human subject research, including the use of institutional and departmental SOP’s. Understands and abides by HIPAA regulations.
Understands research principles and completes required research credentialling for position.
The Study Intake Support Specialist is responsible for maintaining personal professional growth and contributes to the growth of team members. Maintains adequate skills in technology as necessary for the study execution. Willingly participates in the orientation of new employees. Proactive in process improvement ideas. Study Intake Support Specialist will contribute to providing the highest levels of customer service by maintaining open communication with other research staff and participating in inter and/or intradepartmental discussions relevant to research.
Performs other duties as assigned or directed to ensure the smooth operation of the department or section.
The expertise and experiences you’ll need to succeed :
Minimum qualifications
Associate degree in health science, data processing, business, or related field, OR
2 years equivalent administrative/professional or research experience, OR
Preferred qualifications:
Bachelor’s degree in healthcare related field, data processing or business or related field.
Medical Assistant or 1-2 years in a medical office (or equivalent)
Previous research experience or administrative experience
