Director of Student ServicesReporting to the School DirectorSummary:As a senior staff member, the Director of Student Services supports the School Director in ensuring the smooth operations of the non-academic departments in the school, overseeing students services, administration, activities & accommodation (‘Student Services’) departments. Qualifications and competencies:Proven management & team leading experienceFluent in Japanese & EnglishComputer literate (Microsoft Office and Canva)Outgoing & confident personalityCommitment to the highest standards of customer service and welfare provision within the school Enjoy working in busy & varied environment Organized with attention to detailsEnjoy multi tasking and excellent time management skillsCreative & energetic with lots of common sense as keyAbility to handle difficult situations with ease & remain calm under pressureExcellent communication & people skillsDecision making Responsibilities: Responsible for ensuring the smooth running of homestays and student residence services.Host Family management duties:Ensuring peak beds are recruited according to action planDaily stats review of placements, enquiries, quality check visitsHold weekly meetings with Host Family Coordinator to review stats, procedures, staff goals and implementation of action planEnsure host family payments are accurate and paid in a timely mannerResidence accommodation management duties:Manage residence beds availability and contractsHold weekly meetings with Residence Coordinator to review procedures, discuss goals and set action plan for customer satisfaction improvement Ensures the smooth administration of bookings with Admin CoordinatorEnsures continued development & improvement of customer support services, ensuring accurate information being given; monitoring & maintaining high levels of student satisfaction. Line manages all staff in accommodation, activities, and students service departments, assisting with recruitment, training, appraisals & staff development.Organizes, attends & produces minutes for regular Student Council Meetings.Ensures staff have accurate, up to date information & training to do their work, for example changes in visa requirements etc.Ensures that recruitment of interns to the school is well managed with appropriate staff, inductions and support being arranged. Conducts/contributes to annual appraisals of Student Services staff.Ensures that appropriate supplies & services are in place for relevant department & liaises with admin coordinator and students services coordinators where required.Works with School Director on invoice processing, budget planning and financial management.Works with all non-teaching departments to ensure that annual planners are being followed and support provided where required. Ensures all student & staff areas are presentable, tidy and in good order.Prepares & updates school information such as sales staff booklets, student handbook and internal websites.Responsible for intake management.Assists with the setting up and management of additional summer centres during peak season. Traveling to Kyoto might be necessary.Greets agents, sales staff & other visitors, giving school tours & presentations, and hosts events when necessary.Attends off site meetings with other schools staff as required.Provides welfare guidance to students.Assists School Director with disciplinary issues as required.Ensures that in school sales are being efficiently managed.Deputizes for School Director in absence.
