Student Coordinator - Family Medicine Residency

This is a Full Time, benefits eligible position

Position Summary: 

Supports the Student Education Department administrative tasks which includes onboarding of medical and advanced placement professional students for clinical experiences. 

Education and Experience:

High School DiplomaOne year or more experience in relevant administrative support or project management experienceStrong computer knowledge and comfortability navigating and organizing electronic filesUnderstanding of MS Office suite-- specifically Outlook, Word, ExcelUnderstands version control and file naming conventionsTechnologically adaptable to other software tools (Zoom, Smartsheets, Go-To-Meeting, Slack, Trello, Microsoft Teams, QGenda, etc.)PC experience preferredAny experience with database management or policies/procedures is a plus, but not required

Essential Duties:

Coordinate student rotationsAid in communication with hospital departments and outpatient practices on incoming students requesting rotations – determine department availabilityMaintain schedule blocks for various departments and practices so Education always has a handle on how many students are in place in any given hospital areaCommunicate with students on acceptance and denials for requested rotations; answer any questions the students have about rotation requirements. Schedule students for clinical experiencesCommunicate initial reservationConfirm reservations up to 4 weeks in advanceSend 2-week reminder of incoming students to departmentsSet students up for system clearance and help with facilitation of onboarding Collect relevant clearance documentation from academic institutionsCollect relevant clearance documentation from studentsRequest computer network clearance and relevant trainingRequest badge and relevant access points in hospitalCommunicate with students the final details of their clinical experience and prepare them for their first day onsite. Badge receipt / parking instructionsCerner credentials / scheduled training detailsEmail introduction to preceptor as hand-offOrientation duties for the ResidencyTour Residency building & clinicCreate schedule, review & set expectations for professionalismWarm hand-off to preceptorDistribute and collect student evaluations and aid in the evaluation processCreate composite evaluations for Residency faculty and submit to academic institutions as appropriateAid students in contacting preceptors to collect evaluations as requested.Assist in Preceptor payment processCollect time sheets and verify student rotationsPrepare check requests or payroll documents for manager sign offSubmit payroll authorizations to the chain of leadership for preceptor reimbursementSchedule and coordinate, as well as attend departmental/cross-department meetingsTake minutes at meetingsSupport projects as required of a core clinical siteAid in documentation of department procedures and workflowsOpens, reviews, and acts on incoming mail as appropriateFront-office administrative duties; reception areaAttend school-specific meetings and events on regular and intermittently scheduled basesEnsure appropriate faculty are registered for and attend necessary school-specific meetingsLiaise with education department to review schedules for conflicts and communicate necessary adjustments as they ariseMaintain updated workflows and documentation for student experiences, including for scheduling and coordinating student rotations, departmental contact lists, policies, etc.Communicate didactic schedule and monitor attendance of studentsMonitor student absencesMonitor evaluations from all departments to ensure timely submissionAssist with maintenance, preparation, and submission of faculty academic appointmentsDistribute examination codes for end-of-rotation exams (as applicable)Work closely with undergraduate medical education facultyAt times, assist with coordination of educational conferences and eventsAct as initial point of contact for students during their rotationsManage student housingSupport student wellbeingMaintaining and updating medical student section(s) on department website
