**Job Summary**

We are seeking an Introductory Course Coordinator to join our four-member student services team.
Our introductory courses serve more than 2,000 students each semester. We are looking for someone with excellent organizational and planning skills, who enjoys working with faculty and students to keep large-scale processes running smoothly. We are a collaborative, friendly group that builds on each other's strengths and creativity to move our department - especially our students - forward.
The main responsibilities of this position include providing administrative support for our introductory courses. This support involves coordinating exams, hiring Learning Assistants and proctors, and processing exam scores for large courses serving 2,000 students per semester. This often involves carefully balancing the needs of our enrolled students, the faculty teaching them, and the relevant rules and procedures. Additionally, the introductory course coordinator represents the department to prospective students, parents and community members, non-departmental faculty members, and staff members from across the University.
The introductory course coordinator greets all visitors to the office and guides them to the most appropriate resource for assistance. This position reports directly to the Physics Student Services Manager.
The successful candidate will be detail- and process-oriented and will exercise exceptional skills in organization and coordination. The position requires someone with sound judgment and the ability to function productively in a fast-paced environment. The ideal candidate will be kind and empathetic, while also being firm in enforcing fair policy decisions. The person who excels in this job might describe themselves as a "behind the scenes" worker, helping to bring plans or decisions to fruition. Additionally, the successful candidate will possess a welcoming and positive demeanor, help foster an inclusive culture within the department, and provide excellent customer service. **Responsibilities***
**Physics Introductory Course Support**
Provide administrative support for all aspects of up to six introductory physics courses each semester, including, but not limited to:
Schedule and coordinate alternate and accommodated exams; hire and direct exam proctors; order copies and prepare exam boxes for instructors; coordinate (with Office of the Registrar) rooms for all exams; scan and process all exam data after testing occurs; upload exam scores to Canvas; respond to all email inquiries to course inboxes.
Advise students and instructors on course policies. Interpret policies and procedures. Ensure students with approved accommodations receive the necessary support during exams.
Manage the day-to-day operations of the Physics Help Room - hire student learning assistants to provide tutoring, assign work, and manage schedules. Partner with facilities and IT staff to ensure the space is in working order.
**General Office Support**
Serve as the first point of contact for phone calls, emails, and in-person inquiries to the Student Services Office (SSO); provide back-up support for the undergraduate program coordinator; provide functional supervision of the student office assistant; reserve rooms as requested; place office supply orders as needed; assist in the planning and execution of student-related events.
**Physics Research Experiences Undergraduates (REU) Program Administration**
Support faculty coordinator(s) with processing applications, notify students of acceptance status; coordinate housing/meal plans for participants; prepare, collect, and file orientation materials and forms; coordinate safety and shop courses for participants; set up computing and campus access; reserve rooms for program activities.
**Required Qualifications***
+ High school diploma or equivalent.
+ Prior experience working with students or faculty, preferably in an academic setting.
+ Demonstrated ability to work independently, efficiently, and productively with a diverse group of people.
+ Strong attention to detail.
+ Ability to learn, explain, and enforce policies and procedures.
+ Capacity to exercise problem-solving skills to come up with creative solutions.
+ Must be able to set priorities, exercise initiative, work simultaneously on numerous projects and meet/negotiate deadlines.
+ Superior communication and interpersonal skills.
+ Must possess proficiency, speed, and accuracy with word processing and spreadsheet software.
+ Must be supportive of, and participate in, change initiatives to improve services, efficiencies, and/or productivity.
**Desired Qualifications***
+ Bachelor's degree
+ Basic familiarity with FERPA
+ Experience with Google and Microsoft Office applications.
