Summary:

This role will provide administrative assistance to handle differing situations, problems, and deviations in the work of the Council’s operation according to the COTR’s (the Senior Advisor for D&I) duties related to the National Museum of Natural History, Smithsonian Institution museum staff diversity, diversity recruitment and sustainment, workplace culture and related education activities. 

Responsibilities

Essential Job Functions:

Create and maintain a council project activity status tracking system collecting regular updates from over 5 task force groups; provide to the council regular action status reports. Screen incoming correspondence delivered to the Council email address inbox for the Council leadership. Under the close guidance of the Council leadership respond to requests for information concerning council process and procedures; determine which requests should be handled by the Council leadership or other appropriate council members to prepare routine-non-technical correspondence for the Chair’s approval.Maintain the Council’s calendar schedule and arrange for meeting rooms. Arrangements conferences and meetings (in person and virtual) and assemble established background materials as directed.Attend NMNH IDEA Council meetings necessary to accomplish the requirements of this statement of work. Produce minutes for Council meetings, monthly and special meetings.Review outgoing materials and correspondence for internal consistency and conformance with the Council Chair’s procedures.Provide administrative support for managing the Council’s cyclic activities calendar including membership rotations, onboarding activities, and correspondence ensuring all members are aware of their membership periods and rotation dates.Serve as the Council liaison for the webpage provide and post information and updates fed in from the Council leaders following the procedures and guidance of the NMNH IT web branch. At a minimum post on the web page meeting minutes, task force status reports and educational resources when approved by the Council chairs.Manage the Council email inbox flagging request and questions bringing them to the attention of the Council Chairs. Remain informed of relevant NMNH and Smithsonian policies and practices necessary to perform the requirements of this SOW. Contractor will maintain the IDEA Council Darwin by updating it when needed, monitoring IDEA grant submissions, and other tasks as needed. Contractor will assist Task Forces by scheduling and attending their meetings, taking notes, creating requested materials (PowerPoints, posters, notes, presentations, project proposals, etc.) and assisting with the projects the Task Forces take on. Contractor will participate with the Peer Recognition Awards committee when needed. Qualifications

Necessary Skills and Knowledge:

Effective customer service skills.Excellent communication, business analytical and problem-solving skills.The ability to set priorities and juggle multiple demands.The ability to work as a team member and as an individual working in a fast-paced environment.Dependability and punctuality for work every day.Sufficient knowledge in automated software suites to include word processing, spreadsheets, email, graphics, database, and communications systems.Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Minimum Qualifications:

Minimum of 2 years working with Microsoft Outlook, Word, and PowerPoint with good written and verbal communication skills.Minimum of 2 years Excel; and must be proficient with creating reports.Minimum of 5 years of general administrative experience in a professional setting in person and virtual. Ability to successfully pass a background check.

Preferred Qualifications:

Associate's or Bachelor's degree preferred.

The salary range for this position is $87,000 to $97,000 per year.
