Staff Assistant 

Power Engineers, Inc., is seeking a Staff Assistant for our Power Constructor's Department. This is a full-time position, assigned to our Austin, Texas office. This position will have the ability to work remotely from any mutually acceptable location. The Staff Assistant is responsible for coordinating office operations and is the point of contact for departmental administrative activities.

Roles and Responsibilities:Type, edit, and proofread documents and presentationsSchedule and organize meetingsAttend meetings and prepare meeting minutes and action item listsMake travel arrangementsAssist with onboarding of new staffSupport remote IT team as required in ensuring local computers and equipment are functioning properlyMaintain multiple schedules and calendars across various time zones/officesData entry, expense reconciliationAssist in organizing office special events (team lunches, holiday parties)Interact with other offices via telephoneUpload all invoices received for payment by Accounts Payable into company ERP programTraining will be provided to learn our Dynamics system to process Per Diem payments, expenses and entering PO’s and vehicle and fuel billing for field employeesRequired Education/ExperienceCollege Business Administration Diploma preferredHigh School diploma requiredProficiency in MS Word, PowerPoint, Outlook, Teams and Excel, Onedrive, OneNote, SharepointFamiliarity with other office programs such as Bluebeam, ProjectWise, SmartSheet, Microsoft Dynamics, Oracle, and VisioStrong familiarity with a wide range of office equipment – printers, audiovisual, conference phonesStrong organization and customer service skills emphasizing attention to detail5+ years previous experience in administrative support or clerical role is preferredMust be able to multi-task and thrive in a fast-paced, high-energy environmentDesired Education/ExperienceSelf-motivated, team player with sound judgmentOptimistic attitude and ability to work within a structure of established proceduresExcellent written and verbal communication skillsDetail-oriented and able to proofread and editAble to multi-task, prioritize, and organizeExcellent time management skillsAble to work independently and as a team playerSelf-starter, reliable, and hardworkingAble to take direction from multiple peopleAble to learn new tasks and softwareAccuracy and attention to detail

Salary DOE: The pay range for this position is $52,000-$62,000 per year; however, base pay may be higher or lower depending on the candidate's job-related knowledge, skills, and experience. This figure does not include additional compensation such as health benefits, vacation, 401k, etc.
