Summary This position is located at the Southeast Louisiana Veterans Health Care System. The purpose of the position is supporting the coordination, execution and evaluations and administratively support all administrative functions that include administration, budget, finance and program analysis, office support services, document control, logistics, and a variety of related administrative matters in support of the medical facility. Responsibilities Ensure action or inquiry is closed out with the inquirer or office. Participate in special information flow studies, analyses, presentations and briefings, as assigned. Develop position papers representing the position of the organization on a variety of complex and sensitive issues. Communicate staff agency members to ensure completion of all requested actions and appropriately closes out all requests. Coordinate events hosted by officials, including town hall meetings with internal staff. Facilitate selection of the event time, developing a formal agenda, managing any required contracts and all logistical items, disseminating information to attendees, and ensuring smooth execution of the event. Work with various staff to coordinate regular committee meetings, ensuring all event management steps are completed. Coordinate with other internal reviewing services regarding routine audits and internal/external reviews of a national concern. Work closely with senior management and others in implementing and evaluating policies, plans and internal operation systems. Contact and engage with staff at all levels to facilitate the work of the office related to a variety of operations focused assignments and projects. Coordinate with the appropriate individuals or offices to develop proposals and supporting materials for presentation at conferences, meetings, hearings and other external activities and meetings. Assist the Executive Assistant to the Director with Reviewing correspondence and documents prepared for signature of or requiring coordination by managers for conformance with regulations, grammar, format, and special policies. Conduct analytical studies on particular operational processes, issue topics, or related special projects studies. Serve as the responsible contact for leading projects from initiation to completion and may be required to present the results to senior leadership. Track both routine and uncommon deadlines initiated by Office of the Inspector General (OIG)/Government Accountability Office (GAO) and internal reviewing officials to ensure timely submission of responses and actions. Assure compliance with all applicable policies, and development and maintenance of internal management processes related to these on-line tools. Manages response to incoming actions and requests from initial receipt to completion and closeout. Analyze the subject matter of incoming information for appropriate distribution to offices internal or external to the office. Receives and monitors completed actions or responses. Analyze responses for completeness and accuracy against known policies and procedures. Manage and coordinate all on-line communication tools such as assigned intranet websites, internal SharePoint website collection, and other related informational tools. Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level. Work Schedule: Monday - Friday, 8:00 am - 4:30 pm, subject to change based on the needs of the facility.
