Sr Executive Assistant
Description Senior Executive Assistant - Credit Review Citizens is seeking a Senior Executive Assistant to support the Executive Vice President, Head of Credit Review, and the Credit Review Team. The Senior Executive Assistant will provide administrative support to the Head of Credit Review, maintaining their schedule, planning travel, and managing expenses. Additional responsibilities relate to assisting with issuing Credit Review reports to executive management, the regulatory examiners, and the Audit Committee of the Board of Directors, and creating presentations showcasing key Credit Review activities and data for use at internal and bank meetings. The Senior Executive Assistant will possess thorough knowledge of the organization and have the proven ability to make sound judgments on a day-to-day basis regarding assigned and ad hoc duties. They will prioritize inquiries and requests while troubleshooting conflicts with little guidance. The Senior Executive Assistant will have the ability to work independently on and manage multiple projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Duties include scheduling of appointments, preparation of external / internal correspondence, telephone/visitor screening, arranging complex and detailed domestic travel arrangements, coordination of meetings and receptions, preparation of presentation materials, maintenance / filing of documents, and preparation of expense reports. The Senior Executive Assistant will perform ongoing maintenance to various databases and assist in arranging colleague meetings / events for the Credit Review team. Primary responsibilities include + Provide high-level administrative support to the Executive Vice President and Business Unit Directors. Serve as first point of contact, triage requests and correspondence, intercept and handle administrative tasks, monitor correspondence for sensitive and priority items, manage calendar, schedule, and coordinate meetings with the ability to prioritize meetings and resolve scheduling conflicts, handle travel arrangements. + Support Business Unit Directors and other department officers with production workflows, coordinate department deliverables and assist Business Unit Directors with managing and reporting deadlines. Support, maintain, and / or prepare complex and confidential documents including credit review reports, presentations, and correspondence, at a high level of quality including advanced graphics. Anticipate executive needs and proactively provide administrative support. Assist in completing reports and correspondence to bank management, the Board of Directors, and other bank Stakeholders. + Complete Quality Assurance / Quality Control activities to confirm compliance with Credit Review’s methodology (i.e., executing post-review checklists). Provide administrative support for Business Unit Directors and other department officers participation in internal and external meetings, committees, and other business activities. Act as point of contact and foster relationships with key internal and external stakeholders. + Provide logistics support for recruiting activities; work closely with department recruiting team and senior management to organize, interview schedules, and manage candidate onboarding. + Contribute to division, bank project teams and work groups by completing special assignments. Perform ad-hoc executive level assignments and projects as required. Assist department support functions as needed. Assist in planning and executing meetings, events, and special projects. Seek greater efficiency and effectiveness in areas of responsibility and suggest improvements in departments processes and procedures. Facilitate team-wide events and travel accommodations for the entire department (i.e., annual off-site meeting). + Manage multiple projects simultaneously/in a timely manner. + Display excellent communication skills in working with clients (internal/external), and vendors. + Accurately track expenses/process and submit expense reports in a timely manner Qualifications, Education, Certifications and/or Other Professional Credentials + Knowledge and experience normally acquired through, or equivalent to, the completion of an Associate’s degree and a minimum of 7 - 9 years of job-related experience: + Position requires unassailable discretion, a mature and professional demeanor, organizational savviness, and excellent judgment + Excellent interpersonal and communication skills are essential + Strong analytical and technological skills, expertise with MS Office products required + Ability to anticipate, prioritize, multi-task, and self-direct + Attention to detail and strong planning and forward-thinking capabilities Hours & Work Schedule + Hours per Week: 40 + Work Schedule: Monday - Friday, 8:00 am - 5:00 pm Some job boards have started using jobseeker-reported data to estimate salary ranges for roles.
