Sr Administrative & Collections Management Assistant

      

Senior level administrative assistant responsible for providing advanced secretarial and administrative support to Vice President, Audience & Experiential Experience and Chief Curator, Thrivent Art Collection. Responsibilities include handling communications, maintaining executive’s schedule and calendars, and coordinating meetings, conferences, presentations, and travel. Composes correspondence, prepares reports and presentation materials, and provides project support.

Provide support in experience and events planning and coordination for Audience & Experiential Engagement teams and in Collections functions (including Thrivent Art Collection and Corporate Archive).

         

          

Job Duties and Responsibilities

Organizes and coordinates executive’s schedule by arranging appointments, maintaining calendars and scheduling meetings, conferences, travel, and presentations Handles telephone calls, greets visitors, responds to information requests, and composes correspondence (often of a confidential nature) Relieves VP/SLT/EMT of routine administrative details, including data compilation and analysis Prepares meeting agendas and briefings, maintains meeting notes, and arranges for implementation of action items Prepares presentation materials and spreadsheets to produce high quality reports, presentations, and other documents  Supports and/or administers projects or processes for division/department Maintains and promotes strong business relationships with key stakeholders in support of management objectives. Ensures efficient record retrieval by maintaining filing systems and records; performs routine administrative duties such as filing, maintaining office supplies, and processing mail Assist with general storage facility maintenance, cleaning and management of Print Study. Assist with database management and maintenance for collections under care.  Support planning and execution of events and experiences for the Audience & Experiential Engagement function.  Support assessment and ongoing collections initiatives including research, organization, materials and object monitoring and packing as needed. 

Required Job Qualifications

3 or more years of administrative/secretarial experience ​Two-year degree from business or vocational schoolAdvanced business computer skills (Microsoft Word, Excel, PowerPoint) Ability to write business correspondence clearly and concisely, using correct grammar, vocabulary, punctuation, and spelling Ability to handle multiple projects or tasks while effectively prioritizing to meet deadlines and maintain a high quality of work Ability to maintain integrity of sensitive/confidential information Excellent communication and interpersonal skills. Experience with coordinating and executing events or special projects. Ability to occasionally work evenings and weekends. Ability to lift 40lbs. 

Preferred Job Qualifications

BA or coursework studies in Museum Studies, History/Design, Library Science, Anthropology or related field.   Experience with historic object handling, packing and storage and understanding of preventive care, collections maintenance and public access to collections.  Familiarity and/or experience with Collections/object database systems.

The applicable salary or hourly wage range for this full-time role is $23.02 - $31.14 per hour, which factors in various geographic regions. The base pay actually offered will be determined by a variety of factors including, but not limited to, location, relevant experience, skills, and knowledge, business needs, market demand, and other factors Thrivent deems important.
