The Space Utilization Analyst plays a pivotal role in maximizing the efficiency and effectiveness of departmental space. This critical position is responsible for conducting comprehensive space assessments, gathering and analyzing data on space usage, and preparing detailed reports with actionable recommendations for improvement. The analyst will collaborate closely with various divisions and central administration to understand specific space requirements, assist in the development and implementation of space management policies, and lead projects aimed at enhancing space efficiency. By optimizing space utilization, the analyst supports the institution's mission of excellence in research, education, and patient care, ultimately contributing to the university's long-term success.
The analyst must expertly balance the diverse and often competing space needs of various divisions and units, necessitating a deep understanding of each area's unique requirements. This role involves interpreting and synthesizing large volumes of data to provide actionable insights, which demands exceptional analytical skills and meticulous attention to detail. Additionally, the analyst must stay informed about university, school, departmental, and division guidelines to ensure compliance while developing and implementing effective space management policies. Successful collaboration with multiple stakeholders, including division heads and central administration, is essential, requiring excellent communication and interpersonal skills. The role also entails managing complex projects, such as renovations and relocations, which requires robust project management capabilities and the ability to adapt to changing circumstances and priorities.
The Space Utilization Analyst’s responsibilities encompass a broad range of critical tasks, including detailed space assessments, data analysis, policy development, and project management. The analyst’s work has a direct and significant impact on the university by ensuring that space is utilized effectively to support the department's mission of excellence in research, education, and patient care. By optimizing space utilization, the analyst helps create an environment that fosters innovation, collaboration, and productivity. Their efforts in developing and implementing space management policies ensure compliance with institutional guidelines and contribute to the university's long-term sustainability. Additionally, the analyst’s ability to lead and execute projects, such as renovations and relocations, enhances the functionality and adaptability of the department's facilities, ultimately supporting the university's strategic goals and objectives.
**DUTIES & RESPONSIBILITIES** **Analysis & Reporting (30%):** Prepare detailed reports and presentations on space utilization findings, including recommendations for improvements and reallocation.
• **Data Analysis:** Analyze space utilization data using statistical tools to identify trends, inefficiencies, and opportunities for improvement.
• **Strategic Recommendations:** Develop strategic recommendations for space reallocation, including potential impacts on operations and costs.
• **Presentation Skills:** Prepare and deliver presentations to senior leadership, highlighting key findings and proposed changes.
• **Reporting Standards:** Ensure that reports meet university and departmental standards, including accuracy, clarity, and comprehensiveness.
**Space Assessment (30%):** Conduct comprehensive assessments of current space utilization across various divisions and units within the Department of Medicine.
• **Data Analysis:** Analyze space utilization data using statistical tools to identify trends, inefficiencies, and opportunities for improvement.
• **Strategic Recommendations:** Develop strategic recommendations for space reallocation, including potential impacts on operations and costs.
• **Presentation Skills:** Prepare and deliver presentations to senior leadership, highlighting key findings and proposed changes.

**Project Management (25%):** Lead and participate in projects aimed at improving space efficiency, which may include renovations and relocations.
• **Leadership:** Lead cross-functional teams in planning and executing space-related projects, such as renovations and relocations.
• **Timeline Management:** Develop and manage project timelines, ensuring milestones are met on schedule.
• **Resource Allocation:** Oversee the allocation of resources, including budget and personnel, to support project objectives.
• **Risk Management:** Identify and mitigate potential risks associated with space projects, ensuring successful project outcomes.
**Data Collection and Analysis (10%):** Gather and analyze data on space usage, including occupancy rates, functional adequacy, and alignment with departmental needs.
• **Data Gathering:** Design and implement effective data collection methods to gather accurate and comprehensive space utilization data across the Department of Medicine.
• **Survey Development:** Develop and distribute surveys to gather input from faculty, staff, and students regarding their space needs and usage patterns.
• **Database Management:** Maintain and update databases of space utilization data, ensuring accuracy, consistency, and accessibility.
• **Advanced Analytics:** Utilize advanced analytical tools and techniques to identify trends, patterns, and insights from the collected data, supporting informed decision-making and strategic planning.
**Technology Utilization (5%):** Utilize space management software and other tools to update space records, agreements, and support decision-making processes.
• **Software Proficiency:** Utilize advanced space management software to track space usage, create reports, and support decision-making.
• **Data Integration:** Integrate data from various sources to provide a comprehensive view of space utilization and support strategic planning.
• **Training & Support:** Provide training and support to staff on the use of space management tools and technologies.
• **Innovation:** Stay current with emerging technologies and best practices in space management, recommending new tools and approaches as needed.
**MINIMUM QUALIFICATIONS**
Bachelor's Degree in Business, Administration or related field and 3 years' experience in space assessment, analysis, and implementation or related areas.
• Proficiency in Microsoft Office Suite
**WORKING CONDITIONS**
Requires on site presence.
