Senior On-Site Service Specialist, WH
Position Profile
This role provides operations functions in various areas, including operating high-volume duplicating equipment, performing copying tasks, shipping and receiving products and supplies, sorting and distributing mail/faxes, and applying necessary postage. It also involves copier maintenance and repair at customer sites. Additional tasks may include bindery, quality control, housekeeping, file services, call center representation, and reception. Building support functions such as meeting setups, light maintenance, shipping and receiving (warehouse duties), and forklift operation may also be required. Due to the higher level of presentation and telephone skills needed for receptionist duties, employees performing this function are considered Senior On-Site Services Specialists. This position reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site personnel configuration.
Job Duties and Responsibilities
Operate high-volume copy machines and perform binding and finishing work. Ensure convenience copiers are working properly through daily inspections, clearing paper jams, and informing technicians of specific problems. Perform all repair services on customer copier equipment. Maintain records for management reports and inventories of supplies needed. Distribute office supplies, fax transmissions, and mail to company personnel or designated drop-off points. Calculate charges for jobs performed and maintain billing logs. Respond to and coordinate all service calls required by customers. Perform filing duties as requested by customers. Deliver completed jobs to predetermined customer locations within and outside the site. Maintain daily meter and service logs. Travel between customer buildings as needed. Answer customer questions regarding job status or feasibility. Ensure convenience copier areas are neat and well-stocked. Perform duties related to shipping and receiving materials. Set up meeting and conference rooms. Assist with building occupant moves within assigned facilities. Perform re-lamping and light maintenance duties as assigned. Perform occasional cleaning duties as needed. May require periodic overtime on nights and weekends, including off-hour emergency response. Use various equipment such as shrink-wrap machines, paper cutters, hole drillers, bindery equipment, joggers, tape machines, stackers, electric staplers, and scales. Operate copier equipment, calculators, fax machines, postage meters, and some PCs. Perform filing duties, including purging and archiving old documents. Perform shipping/receiving duties (warehouse work). Operate warehouse equipment such as forklifts. Perform other duties as assigned.Qualifications (Education, Experience, and Certifications)
High school diploma or GED required, with 1-2 years of related work experience. Some related copy job experience preferred. Valid driver's license and minimum levels of auto insurance coverage may be required. Appropriate certifications for operating forklift/warehouse equipment may be required.Knowledge, Skills, and Abilities
Working knowledge of copier and related equipment and repair preferred. Understanding of shipping/receiving procedures required. Basic electronics knowledge preferred. Ability to work independently and flexibly to complete projects. Ability to determine correct packing methods and materials and check packing slips for accuracy. Ability to comprehend instructions concerning mail delivery. Troubleshooting and problem-solving skills. Ability to read and comprehend written technical information in manuals, parts books, and related publications. Excellent customer relations and verbal communication skills.Working Conditions, Mental and Physical Demands
Frequent exposure to copier/fax machine noise, toner, and changes in room temperature; potential for paper cuts from handling paper and opening boxes. Exposure to various weather conditions when walking between buildings; potential for injury or accidents from location equipment. Daily telephone/in-person contact with customers, employees, managers, and Dispatch Department; occasional telephone contact with vendors and equipment repair personnel. High stress levels due to tight deadlines and quick turnaround times. Physical effort required, including long periods of standing, walking, bending, reaching, stretching, climbing, and lifting or moving items weighing up to 50 lbs.; pushing or pulling machines on wheels weighing up to 400 lbs. may be necessary. Operation of warehouse equipment such as forklifts may be required.
