What you will do:

The primary role of the Service Admin is handling customer inquiries and overseeing the needs and requirements of the customer to support the Service Team projects. They are savvy in terms of technology, business practices, and have significant experience in the customer service field. They rely on experience and judgement to plan and accomplish goals and a wide degree of creativity and latitude is expected. The role provides support to the Field Service team in addition to coordinating the flow of information among team, external organizations, and leadership with an emphasis on customer service.

How you will do it:

Take service calls and emails from customers needing service and create service work orders. Support the field service by communicating service requests through the work order system. Get acquainted and competent on the use of company's asset & work orders software (Upkeep – Sage) Assist in developing new and improved ideas for warranty/service. Maintains and assists with training for asset/wo order system. Works with sales team on gathering information like Purchase orders and creates job numbers when needed. Gather all customer information relevant to their service request and communicate clearly to regional managers on work to be performed. Creates & dispatches work orders to area and project managers. Write-ups for the accuracy of work completed and capturing of required information. Ensure continuous communication with the customer. Clear and concise communications with department managers, employees, and company customers. Review service reports and update account information as needed or reach out to party responsible to update. Review schedule with area managers and review with regional team on what they are at with services in the area. Assist with special projects coordination, research, and reporting. Process reports and send weekly summary to manager. Attend meetings with customers and meetings with employees that are a result of warranty and services. Identify business development and add-on sales opportunities. Supports to ensure that when billable work is completed that all items are invoiced and sent to accounting. Develop and maintain a clear and concise communications with department managers, employees, and company customers. Provide excellent customer service. Other duties as assigned.
