Udemy is looking for a Senior Workplace Associate to join our Dublin office. This is an in office based role that encompasses front desk responsibilities, vendor management, office engagement and budget management & culture building . You'll be responsible for creating a welcoming, organized, and efficient workspace, ensuring smooth office operations. As part of an expanding global company, this is a fantastic opportunity to manage cross-functional experiences and contribute to a learning-focused organization. This role will report into Real Estate & Workplace (REW) and more specifically the Head of the EMEA/APAC region. Our team mission is to enable productivity and connection by providing positive employee experiences through innovative Real Estate & Workplace solutions.
What you’ll be doingGuest Services – Greet visitors and employees, ensuring a seamless check-in process.
Office Operations – Oversee daily workplace functions for a productive environment.
Workplace Requests – Manage and prioritize office-related inquiries efficiently.
Facilities & Budget Management – Oversee office purchases, lunch programs, and budgets.
Vendor & Landlord Relations – Maintain strong partnerships for smooth operations.Health & Safety – Act as the office liaison to ensure a safe and secure workspace.
Events & Engagement – Plan team/company events to foster culture and engagement.
Global Support – Provide operational and logistical support across Dublin and remote offices.
What you’ll have
3+ years of proven experience in office management, guest services or similar roles
Exceptional organizational and time-management skills.
Excellent communication skills, both written and verbal.
Proficiency in GSuite, Slack and other project management tools.
Ability to work independently, manage multiple tasks, are detail oriented and maintain a high level of confidentiality.
Familiarity with Irish office management regulations and health/safety standards is advantageous.
