Role purpose: Manage the business administration and project support function within the office of the 2 Managing Executives and serve as the primary point of contact for this office.
Key accountabilities and decision ownership
• Manage diary of the CBU ME, assigning priority to various meetings.
• Schedule the meetings with the delegates, organize the agenda and coordinate all the logistics, such as transport, travel arrangements national and international, accommodation bookings, transport, give support on entry-visa process.
• Organize conferences, team buildings and other events related to the CBU Departments
• Take notes, minutes on meetings, editing and circulate to the relevant participants and other concerned parts. Follow up on actions from the meetings
• Assist the CBU: ME with correspondence – internal and external, inter-departmental such as applications on Finance, HR etc.
• Follow up on signatures of the Department´s documents (Memos, applications, policies, procedures, letters to other institutions)
• Engage with the CBU leadership team on operational matters and follow ups on behalf of the CBU ME
• Monitor and control all CBU Project performance on each area with the responsible Manager
• Support the CBU ME in preparation and compilation of presentations when needed.
• Co-ordinate reports that may require input from all departments and is presented to the Executive
• Keep the CBU ME advised of time-sensitive and priority issues, ensuring appropriate follow-up.
• Coordinate travel arrangements for the CBU ME and the leadership team whenever required.
• Prepare, reconcile, and submit expense reports relating to CBU ME or the CBU department
• Other additional and/or alternative duties as assigned from time to time by the CBU ME.
Skills
• Proficiency in working with Microsoft office applications including Power Point, excel, etc.
• Facilitation and coordination skills.
• Bachelor’s degree in business, business management or other related fields.
• At least 3 years' experience working with management team.
• Working knowledge of the latest business policies and regulations.
• Demonstrable analytical thinking & business insight.
