Senior Paralegal, EMEAC
Job Description

Job Summary

Assist the Rosewood Hotel Group EMEAC legal and global data privacy functions in the maintenance and administration of departmental affairs, handle all correspondence and information flow between departments, outside service providers and internal clients. This role will also occasionally support members of the Legal Department in other regions. We are looking for a self-starter who is interested in luxury hospitality and looking to further grow as a paralegal professional and be a part of a high-performing global team that is passionate about making an impact at an exciting international hotel group at a time of unprecedented growth.

Keu Responsibilities

Substantive Corporate Paralegal Work –

Support lawyers on team with the drafting and contract lifecycle management contract lifecycle management (CLM) of hotel deals and other contracts under attorney supervision, e.g., prepare first & execution drafts and summaries of Hotel Management Agreements (HMAs).Assist in the distribution of agreements/documents via email to ensure proper execution, e.g., assist with finagling documents, with respect to execution, compilation, and distribution.Liaise with third-parties for the preparation & filing of qualification of entities as foreign corporations in other jurisdictions, annual reports therefor, etc.Assist with management of corporate secretarial matters for RHG and/or its group companies (e.g., appointment/resignation of directors, setting up or dissolution of legal entities, preparation of board meeting documents, annual reports/filings, etc.)Draft & edit non-disclosure agreements or other basic contract templates based on template & prepare for attorney review.Review and proof all contracts as requested by Legal.Assist with various research and diligence efforts.Assist with tasks related to data privacy matters, e.g., records of processing activities (ROPA), data retention schedules, questionnaires, coordinating translation of privacy policies, and other supporting tasks, as requested by the Data Privacy members of the Legal Department.

Litigation/Legal Claims

Drafting of legal and litigation hold notices.Manage incoming notices of service of process by notifying appropriate party & assisting attorney with response as necessary.Coordinate between Legal and IT Departments (e.g., assist in planning & coordinating e-discovery searches).Help collect/organize documents for response to production of documents.

Legal Department Administration and Support

Liaise with outside counsel and third-party vendors as necessary with respect to invoicing.Ensure that the necessary licenses to use legal resources are maintained, negotiate pricing with vendors (e.g., Thomson Reuters).Provide administrative support to regional team members (e.g., word processing, document proofing, create PowerPoint presentations, prepare expense reports).Maintenance of Legal Department files and CLM.Open, organize, file, and maintain Legal Department file systems, electronic and hard copy.Assist other internal departments, namely Finance, on KYC & audit requests.Help manage the operations of the Legal and Data Privacy functions, including by helping to evaluate potential alternative or new resources for Legal Department.

Critical Skills and Qualifications

Required Skills

Significant experience using Microsoft Office products and internet research tools and databases, including Practical Law or similar. Experience with CLM platforms would be a huge plus.Commercial acumen, strong attention to detail, ability to type quickly and accurately; and to proofread carefully.Ability to write and develop letters, reports, etc.Time management planning and organizational skills and the ability to work both autonomously and collaboratively under pressure of deadlines and established priorities.Must be a proactive listener and do-er, be able to raise your hand when you have questions and take responsibility for your tasks.Must be comfortable communicating with senior level professionals across corporate and the regional properties, internationally.

Qualifications and Experience

Paralegal Certification or other coursework or a university law degree strongly preferred.Must have a minimum of 5 years of law firm and/or in-house legal department experience (both a plus).Able to establish relationships with internal clients, nurture respect and trust, and act with strong sense of integrity and professionalism.Fluent in written and verbal English. Additional language capabilities is a plus.Experience in a transactional/corporate or litigation environment a plus.Experience with the hospitality industry/hotel brands a big plus.
