Senior Officer Administration

Strategic Roles and Responsibilities  - 

Understand the BU’s long-term plan and assist in devising the BU Admin roadmap and operating model and devise Site specific strategy and plans Identify key site-specific Admin initiatives for enhancing Admin service delivery; Oversee creation of implementation plan as well as continually review and revise the implementation plan to meet the changing needs of the business. Conduct Admin budgeting exercise for Site in consultation with Reporting manager and BU Admin Head. Partner in establishing budget preparation guidelines for all Admin sub-departments; Construct budget cost for Site; Undertake necessary action for any budget deviations. Ensure adherence to cost management/cost optimization guidelines set by the BU; Identify and drive cost optimization projects at the Site level considering employee/customer experience.  Oversee implementation of Admin policies at the Site; Set guidelines and ensure implementation of business specific Admin policies and systems. Periodically review and partner with BU Admin Head and update all Admin policies and guidelines and ensure they are updated keeping in consideration the changing business dynamics.

Services Management  -

Devise the services’ management operating plan, frameworks for various Admin Services across the Site (viz. General Admin Services, Soft Services, Facility Event Management and Hard Services) Drive Site operations of all Admin services (viz. Local transport management, General Admin Services, Soft Services, Facility Event management and Hard Services) to create a conducive work environment for employees; Manage all operations of the Sales & Project office for employees, customers, Channel Partners, etc at site, wherever applicable. Inventory Management: Oversee the inventory of consumables, office supplies and admin assets ensuring accurate tracking and timely reordering. Develop and implement an inventory management system to minimize waste and ensure maximum efficiency. Procurement Activities: Partner with Techno Commercial function and create, manage purchase orders for consumables, maintenance supplies, services  and other necessary materials. Coordinate with suppliers and vendor and ensure timely delivery of goods. Repair and Maintenance Coordination: Serve as the primary point of contact for all repair and maintenance activities within the office and project sites office. Coordinate with service providers and contractors to schedule maintenance services, ensuring minimal disruption to operations.

Local Transport Management - 

Manage company owned/leased vehicles and ensure compliance with all legal, regulatory and contractual requirements, and resolve any identified issues. Oversee driver duty allocation and facilitate driver training on etiquettes and soft skills for all company vehicles. Analyse and report usage patterns. 

Governance and Compliance Management - 

Governance Framework & Compliance

Ensure adherence to established governance framework and ensure BU Admin service levels are in line with the prescribed standards Partner with BU Admin Head to discuss issues/ deliver insights/ share best practices and devise action plans targeted on driving functional excellence and process improvements Ensure adherence to defined budgets for the Site; Provide guidance or action plan to overcome deviations if any and monitor, review and analyse budget vs actuals  Ensure timely submission & verification of vendor bills as well as timely pay-out as per agreed SOW / SLAs (for all services) Ensure adherence to prevailing statutory requirements, standards, certifications and licenses are obtained by Admin function under Admin Scope  for the Site with timely renewal as applicable Manage all lease documentation for the Site properties under Admin Scope and ensure timely renewal of the same 

Audits and Process Adherence 

Support in formulation of Audit calendar for specific Site; Ensure timely closure of planned activities Partner with HR for them to conduct statutory compliance audit as per the Labor Law for vendor partner under Admin Scope.  Analyse audit findings, draw insights and collaborate with the concerned stakeholders to develop effective action plans for mitigating risks/ gaps identified and ensure timely closure of audit findings

Performance Reviews

Conduct periodic performance reviews for the Site; Monitor all on-going strategic initiatives with the Admin team as per defined performance review calendar.

External Stakeholder Management -

Identify strategic service partners for Adani and build partnerships with solution providers/ government officials/ local authorities Contribute to defining the scope of work; Partner with Techno Commercial team for strategic negotiations and finalize contractual terms and conditions  Supervise service partner performance reviews and address critical issues; if any Work closely with local government bodies and collaborate with government officials for securing and renewing mandatory permissions for the Site under Admin Scope.

Internal Stakeholder Management -

Ensure employee feedback is collected/recorded from time to time and conceptualise new strategies to improve employee/customer satisfaction levels basis feedback received Ensure information about Admin initiatives, updates and achievements are communicated timely and effectively to internal stakeholders for the business.

People Management -

Drive a collaborative and a high-performance driven culture – Set goals, review performance, and provide feedback to ensure a motivated and committed team Drive collaborative workplace initiatives at the business level (e.g. townhalls, newsletters, off sites, events, etc.)

 

Educational Qualification:

Bachelor’s degree in any discipline is mandatory

Experiences:

5+ years of work experience in a similar position for mid-sized / large organization(s) - Real Estate experience preferred.  Experience of managing large property footprint and remote sites, would be an added advantage. Understanding of financial and cost optimization principles Experience of formulating strategies and conceptualizing service management framework Experience of designing and implementing employee feedback framework Proven experience of delivering excellent customer care and services. Strong knowledge and experience in at least two or more Admin domains like Services management, Property management, Infrastructure management and, Corporate real estate and Office MEP management. Experience of dealing with multiple stakeholders – internal as well as external.
