About the Role:
The Senior Manager - Administration plays a pivotal role at Milliman India, ensuring the seamless management and delivery of administrative services across various practices. This strategic and detail-oriented position demands an experienced professional with expertise in general administration, procurement, travel management, and leadership, ideally suited for a growing organization.
Key Responsibilities:
Policy Development and Implementation:
Develop and enforce effective administrative policies and procedures to enhance operational efficiency. Ensure adherence to best practices for service delivery across all administrative functions.Facility and Compliance Management:
Oversee site administration, ensuring safety, compliance with regulations, and smooth operations. Manage facility-related tasks, including office maintenance, transport, guest house, and cafe operations.Team Leadership:
Lead and mentor the administrative team, fostering a high-performance culture. Provide guidance and training to ensure team members align with organizational goals.Vendor and Resource Management:
Negotiate contracts and manage relationships with vendors to ensure quality and cost-efficiency. Optimize resource utilization and oversee procurement of office supplies, housekeeping, and security.Budget and Expense Management:
Manage budgets for administrative activities, ensuring cost-effectiveness. Oversee expense tracking and vendor invoice management.Travel and Event Management:
Oversee domestic and international travel arrangements, ensuring compliance with company policies. Coordinate and manage corporate events and employee engagement activities.Sustainability and CSR Initiatives:
Contribute to sustainability programs and corporate social responsibility initiatives to align with company values.Compliance and Reporting:
Ensure compliance with statutory regulations, health and safety standards, and environmental protocols. Maintain accurate records and generate reports related to facilities, vendors, and maintenance.Additional Responsibilities:
Vendor management, timely agreements, invoice collection, verification, sending for approval and processing, and follow-up with the finance team for payments. Timely uploading of senior management Amex expenses on Concur. Travel arrangements, including flight tickets, hotel bookings, and cab services. Facility management, including housekeeping, repair & maintenance, and sanitization. Providing miscellaneous support to employees, such as ID cards, new joiner kits, and photos. Planning and executing organizational events and activities. Managing shuttle/cab services. Overseeing food and cafeteria management, including food quality, hygiene, cafe supplies, and vending machines. Courier management for office assets and documents. Maintaining office supply stocks and timely ordering of items online and offline. Online purchases for various requests (vouchers, cakes, food for guests, etc.). Supervising front desk activities and providing guidance. Supervising office support staff, delegating work, and monitoring performance. Preparing and maintaining MIS for all activities. Preparing regular reports on expenses and office budgets. Coordinating with dealers, suppliers, and vendors. Organizing a filing system for important and confidential company documents. Addressing queries from employees and clients. Maintaining a wellness calendar and scheduling wellness activities. Booking meeting rooms as required.Preferred Candidate Profile:
Education:
Graduate degree in Business Administration; MBA/PG preferred.Experience:
15-22 years in administrative roles, preferably in GCC or professional services organizations.Skills:
Proven expertise in procurement, vendor management, travel, and facility management. Strong team management and leadership capabilities. Exceptional communication, negotiation, and interpersonal skills. Strategic thinker with the ability to streamline processes and improve efficiencies.
