Senior Facilities Coordinator

Key Responsibilities:

Financial Reporting: Prepare monthly accrual, funding, and variance reports for facilities-related expenses, providing insightful analysis and recommendations to optimize budget performance.Data Analysis and Presentation: Analyze facilities-related data to identify trends, insights, and opportunities for improvement. Prepare presentations and reports to communicate findings to stakeholders.Budgeting & Forecasting: Assist in the preparation of quarterly forecasts and annual budgets, providing accurate financial data and support for strategic business decisions.Work order management: Work order entry and monitoring; redirect work orders that are assigned to wrong vendor or location; request NTE increases and approvals.Financial Tracking & Management: Maintain and oversee financial trackers, ensuring accuracy and completeness of data related to facilities expenses.Facilities Task Management: Manage incoming facilities tasks, dispatching them to the appropriate Person-in-Charge (PIC) and ensuring timely resolution.Aircon Extension Requests: Process and manage air conditioning (aircon) extension requests efficiently and in accordance with established procedures.Inventory Management: Monitor and manage stock levels of stationery and toiletries, ensuring adequate supply and timely replenishment.Purchase Order Management: Generate Client Purchase Orders (POs) as required, adhering to company guidelines and approval processes.Invoice Processing: Oversee the processing of vendor invoices, verifying accuracy, completeness, and adherence to payment terms.Payment Processing: Ensure accurate and timely processing of payments from clients and to vendors, in compliance with established procedures.Expenses Management: Submit monthly expenses to clients and proactively follow up on payment receipts to ensure timely collection.Utilities Management: Manage utilities bills, ensuring accurate tracking, timely payment, and identification of cost-saving opportunities.

Qualifications:

3 years of similar experience in facilities management or a related field.Strong understanding of administrative, financial tracking and reporting principles.Excellent organizational, communication, and interpersonal skills.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Ability to analyze data, identify trends, and develop insightful reports and presentationsAbility to prioritize tasks and manage multiple request simultaneously in a fast pace environment.Proven ability to manage people, work independently and a team player.
