Technical Operations includes the maintenance, and overhaul of our aircraft. This includes aircraft maintenance technicians, engineers, planners, ground equipment and facilities teams, supply chain teams and more.

Key Responsibilities:

Assists managers and supervisors by performing advanced administrative activities and functions for daily operational employee requirements and business processes. Acts as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing and coordination with Employee Service Center. Processes include staff alignment i.e. shift bids, vacation bidding, overtime call-in and tracking, profile updates, badging and records maintenance. Financial processes will include the processing and reconciliation of invoices, P-cards, expense reports and payroll. Additional duties include support of employment/recall processes, correspondence, employee training reporting, local events coordination, uniform program administration and the ordering office supplies and equipment. Position will include development of proficiency in data management systems, i.e. ETA, scheduling systems, Learning Network and Concur/Egencia.

Communicates effectively and professionally with internal and external customersRepresents the respective leadership team and the organization in a highly professional mannerDemonstrates the ability to handle multiple tasks with minimal supervisionTakes initiative on requests and inquiries of administrative natureRecommends action to improve administrative processes to help streamline work and efficiencyActs as first point of contact for all department employees with any payroll or benefit issues including employee retirement processing, and coordination with Employee Service CenterProvides work direction, guidance and training for the Business Coordinator(s) – GSE and Facility Maintenance (as necessary)Develops and maintains statistical data and prepares information and reports pertaining to financial, operations, performance and OSHA dataMay provide forecasts of future staff requirements and may assist in coordinating the adjustment/utilization of staffing resources to meet workload requirements to assure efficient cost and performance controlWill require competency in using data management systems, i.e. ETA, Time tracker, scheduling systems, Learning Network, Managers’ Toolbox and AribaPerforms personnel related duties including employment and recall administration, correspondence, badging, parking permits, profile updates, scheduling/rostering, shift /vacation bidding tracking and records maintenanceProvides administrative support in financial processes including the payment and reconciliations of expenses associated with invoices and P-cards and, expense reportsAdministrative duties include travel itineraries and accommodations, scheduling of conference calls, conference room and special departmental functionsAdditional duties include support of employment/recall processes, correspondence, employee training reporting, local events coordination, uniform program administration and the ordering office supplies and equipment
