Senior Buyer
SUMMARY: The Senior Buyer and Planner is responsible for managing the procurement of materials and services necessary for manufacturing operations. This role involves strategic planning, supplier management, inventory control, and ensuring that production schedules align with customer demand and inventory goals. The Senior Buyer and Planner will work closely with suppliers, production teams, and other departments to optimize the supply chain and maintain efficient production processes. ESSENTIAL DUTIES AND RESPONSIBILITIES: Procurement & Sourcing: + Identify, evaluate, and negotiate with suppliers to secure the best terms for price, quality, delivery, and payment. + Processes purchase orders in an accurate and timely manner utilizing Business Central (ERP system). + Maintains a system to track outstanding purchase orders + Closes received purchase orders in a timely manner + Develop and implement strategic sourcing initiatives to ensure a reliable and cost-effective supply of materials. + Monitor supplier performance and maintain strong relationships to ensure high-quality materials and timely delivery. + Analyze market trends and supplier performance to mitigate risks and capitalize on opportunities. Inventory & Materials Management: + Manage inventory levels to meet production demands while minimizing excess and obsolete stock. + Develop and execute materials planning strategies to align with production schedules and customer requirements. + Create and facilitate cycle count schedule + Work with manufacturing team to identify, analyze, and resolve variances. + Conduct year-end physical inventory + Coordinate with shipping/receiving and production teams to ensure timely and accurate inventory flow. Production Planning: + Collaborate with production teams to create and maintain efficient production schedules that meet customer demand. + Open and close Production Orders in Business Central monthly for the manufacture of finished goods + Monitor and adjust production plans based on changes in demand, lead times, and other factors. + Ensure that materials are available to meet production schedules without delays. + Communicate effectively with production, customer service, and shipping/receiving teams to align planning efforts. Cost Management: + Continuously seek cost-saving opportunities through negotiations, alternative sourcing, and process improvements. + Monitor and report on procurement and inventory costs, identifying areas for improvement. + Interacts with the Finance Department to ensure that financial liabilities are managed in the most cost-effective manner. + Manages claims, debts, and credits to accounts for defective and/or rejected materials. + Manage and track budget compliance for purchasing activities. + Collaborates with Director of Manufacturing to create yearly operational budget Supplier Management: + Develop and maintain strong relationships with key suppliers to ensure long-term partnerships. + Interact with Quality Manager to ensure that products are manufactured and delivered in accordance with internal and customer specifications and ISO procedures and processes. + Establish and maintain supplier performance metrics to effectively manage suppliers. Elements of measurement include supplier’s product quality and lead time history, delivery dependability, price, and service. + Resolve any issues with suppliers related to delivery, quality, or pricing in a timely and effective manner. Data Analysis & Reporting: + Utilize Business Central MRP, data and analytics to drive decision-making in purchasing and planning activities. + Prepare regular reports on inventory status, procurement activities, and supplier performance. + Identify and implement process improvements based on data-driven insights. Compliance and Ethics + Uphold the agency’s reputation by following purchasing policy as established by CFO + Ensure compliance with legal and ethical standards + Stay informed about industry regulations and best practices Qualifications: + Bachelor’s degree in Supply Chain Management, Business Administration, or related field; advanced degree or certifications (e.g., APICS, CPM) preferred. + 5+ years of experience in procurement, supply chain, or production planning in a manufacturing environment. + Strong negotiation, communication, and interpersonal skills. + Proficiency in ERP systems (e.g., Business Central, Oracle) and Microsoft Office Suite, particularly Excel. + Solid understanding of supply chain processes, inventory management, and production planning. + Ability to analyze data, develop insights, and make strategic decisions. + Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment. + Detail-oriented with a focus on accuracy and continuous improvement. Working Conditions: + This position typically works in an office environment with regular interaction with manufacturing and shipping/receiving teams. + Occasional travel to suppliers may be required.
