As Senior Administrative Coordinator, you will report directly to the Vice President, Head of Cell Therapy Development and Operations (CTDO), who reports directly to Pam Cheng within SET (Senior Executive Team). You will provide comprehensive, high-quality support while planning time and prioritizing workloads to ensure that the VP carries out their role efficiently and effectively, making the best use of their time. You will develop your understanding of the CTDO VP’s contribution to the delivery of business objectives, as well as those of each business group within AstraZeneca’s global operations.
Accountabilities:The Senior Admin Coordinator will screen and respond with discretion to often highly confidential and sensitive requests and inquiries, and answer or redirect routine internal and external communications. You will also be responsible for maintaining accuracy of a complex calendar, managing appointments and schedules, and making intricate and frequently changing global travel arrangements. Additionally, you will coordinate internal and external meetings/conferences to ensure they run smoothly, including scheduling meeting times, making travel arrangements for attendees, and attending those meetings as required.
In this role, you will draw on your experience, insight, and judgment to assess complex, ambiguous, and often high-impact challenges, and recommend solutions that support decision-making within operational guidelines. Acting proactively and reactively, you will ensure the VP is updated and briefed on emerging issues. Combining flexibility with on-time delivery in a dynamic working environment, you will ensure the highest standards of accuracy, efficiency, and presentation are achieved.
Often, you will be expected to organize and plan interactions with executive leaders, including leading up to key scientific conferences, town halls, and executive/governance meetings. You will ensure the VP has ready access to meeting agendas and relevant materials well ahead of key meetings. You will aid and assist the CTDO senior leaders with their needs as appropriate.
Support, and where required lead, confidential, sensitive administrative projects by providing a professional, efficient administrative service.Mentor and informally assist with coordinating across the CTDO Administration Team and temps, role modeling the highest personal and professional standards while providing focus and encouraging collaboration.Prep, manage, look ahead of VP Agenda, calendar and work plan; coordinate internal and external communications including social media posts, reports, and other correspondence as well as supporting the VP’s prep for LT, governance, townhalls, site visits, and other functional meetings.Arrange end-to-end multi-location domestic and international travel and manage the submission of the associated expenses. Prepare travel plans and reservations with careful attention to detail regarding travel times, airport connections, hotel bookings, travel to and from airports/hotels/meeting locations. Ensure that travel itineraries are clear and readily accessible throughout the journey and made available to relevant collaborators at the destination location.Provide operational support to CTDO BPO with travel tracking, managing CTDO SharePoint Online pages and MS Teams channels, and arranging logistics for CTDO departmental events such as town halls.Ability to work primarily on-site is a critical requirement.Essential Skills/Experience:5-7 years’ experience as a Senior PA/Executive Assistant supporting Directors, VPs, MDs or C-suite individuals in a complex international organizationHigh School Diploma or equivalent required; two-year Associate Degree or higher preferredExcellent secretarial skills and the ability to exercise sound judgment whilst proactively, efficiently, and accurately managing a demanding workloadExceptional planning and organizing skills with a strong sense of urgency balanced by good judgment of prioritiesAbility to handle sensitive information in a confidential mannerCollaborative with excellent interpersonal and communication skillsConfident communicating at all levels internally and externally whilst exercising discretion, tact, and diplomacyAbility to identify and use appropriate systems and procedures to achieve resultsAn understanding of how the CTDO function relates to others within the organization and how to work effectively to achieve business objectivesFlexible, proactive, and motivated to accommodate all duties and exceed expectationsExcellent knowledge of MS Office, Outlook, Calendar, PowerPoint, and web-based systems including other industry applications e.g., Workday, SharePoint, BOXThe annual base pay (or hourly rate of compensation) for this position ranges from $30.38/hr to $45.58. Hourly and salaried non-exempt employees will also be paid overtime pay when working qualifying overtime hours. Base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. In addition, our positions offer a short-term incentive bonus opportunity; eligibility to participate in our equity-based long-term incentive program (salaried roles), to receive a retirement contribution (hourly roles), and commission payment eligibility (sales roles).
