Scheduling Coordinator, Evergreen Imaging Center

POSITION SUMMARY:

The Scheduling Coordinator providing clerical/administrative support by coordinating and prioritizing procedures/exams for multiple departments within ECHN for physician practices. The Scheduling Coordinator assists as a resource to the physician's office staff when scheduling and in determining the appropriate test and resolving any issues without disruption between the patient and the department. This position is responsible for the maintenance and storage of *Electronic physician orders* and determining if the correct test is booked against the Physician's order.   

 

EDUCATION/CERTIFICATION:

High School degree required, Associates Degree preferred.

 

EXPERIENCE:

Minimum of at least two (2) years of related Patient Scheduling experience with sufficient knowledge to coordinate a variety of procedures and exams. Medical Terminology

 

COMPETENCIES:

Knowledge of Medical Insurance. Current with CPT and ICD-10 Codes. Extensive Medical Terminology knowledge. Good understanding of interventional and diagnostic medical imaging procedures. Must have excellent English written and verbal skills, basic computer and keyboard skills for use of the Meditech system and strong customer service expertise.

Job-Specific Competency

1.      Schedules and coordinates tests and procedures based on physician or patient request with accuracy regarding all aspects including: physician selection, including copies to, available times and resources, schedules multiple tests on the same day to accommodate the physician and/or patient, assuring the proper sequencing of appointments when necessary and appropriate processing regarding cancellations.

2.      Collect patient co pays and any financial responsibility at point of service.

3.      Contacts departments within ECHN to schedule procedures/exams requiring coordination of multiple departments.

4.      Obtains diagnosis and/or presenting symptoms for appropriate coding (CPT/ICD-10), billing and reimbursement. Knowledge of CPT codes for some tests for the Scheduler to decipher if the correct test was booked against the Electronic Order. Knowledge of ICD-10 codes making sure correct codes that pass Medical Necessity.

5.      Performs the appropriate procedure when appointment dates are revised to ensure that the orders are corrected and refilled under the corrected date of service and pre-registration or registration has accurate data to complete the process.

6.      Informs Physician Office personnel (at time of booking) and/or patients of required preparations prior to testing according to defined protocols obtaining accurate H&P documentation for appropriate special procedures.

7.      Maintains and stores faxed orders correctly in order to allow ancillary departments to view the physician order at time of appointment.

8.      Edits accounts appropriately to ensure that correct physician is listed as well as all copy to information is correct and compliant per HIPAA guidelines.

9.      Able to operate department specific equipment including fax (specifically the fax software currently in use), copier, and printers.
