Summary

This position is responsible for assisting the sales team to expedite and streamline the sales process. The position will be responsible for coordinating with various departments within the convention center as well as Experience Columbus and the Greater Columbus Sports Commission to ensure site visits, pre-con, post-con, joint sales, and hospitality meetings are executed flawlessly. In addition, overall capabilities require the sales coordinator to work with the sales managers to support the effort to contract and close business as efficiently and effectively as possible. Must be able to create efficiencies and help to manage the flow of information internally.

Primary Responsibilities

Conduct monthly audits in Ungerboeck system and cross check information with sales managers to ensure space is held and released in a timely manner.In coordination with sales managers and Director of Sales, provides month end reporting i.e., MESR, PACE, and Columbus Collaborative reports in Microsoft Excel.Prepares quarterly, and year-end event statistics.Supports in monitoring event calendar to ensure there are no space hold conflicts.Assist in managing aspects of the sales process including licensing sports team and camp rooms.Assist AGM and DOS with annual budget preparation.Use Ungerboeck database for the account management process and assign and document progress in accounts in a timely manner.Responds/and or be the lead catcher and distribute to appropriate sales manager, all emails from sales@columbusconventions.com.Maintain familiarity with competing convention centers and trends that effect and/or improve our ability to sell the building effectively.Work with Administrative Assistant and Marketing Coordinator to keep a current competitive analysis of Convention Center’s pricing guidelines, rules, and regulations, booking policies against convention centers in our comp set.Knowledgeable in all administrative and operational procedures, policies and rules and regulations of the Center.Ensures proper DocuSign process is followed.Conduct quarterly audits to ensure proper documentation of all proposals, addendums, quotes, correspondence, and contracts related to prospective sales and definite sales accounts are Ungerboeck system.Assist sales managers in processing last minute changes requested by client, and alert internal departments through appropriate systems as needed.Through the Director of Sales, from time to time, the booking coordinator will be assigned small category/capacity leads for direct handling to facilitate the learning and development of account negotiation and processing of event leads from prospect to contract.Performs related duties as assigned by the AGM and/or Director of Sales.Must have the ability to interact with guests in a friendly, courteous, and polite manner. This will include initiating contact with guests within 10 feet – i.e., smiling, saying “Good Day”, or aiding when needed.Must feel comfortable when around large groups or speaking to a guest, as needed.Understands the importance of providing customer service and in understanding of “The Magic is in the details.”All other duties/responsibilities as assigned.

Qualifications and Skills

Knowledge: Should know and understand the fast pace of sales office environment within a large company. Strong computer skills with heavy excel and CRM usage.Experience: Previous work in related hospitality sales or events environment with an emphasis on conventions, meetings, or sports event planning is a plus but not required.Skills/Aptitudes: Strong organization, time management and customer service skills; Ability to multi-task and work under deadlines is important. Demonstrated ability to work in a team environment and interact with many departments, levels of staff; must possess professional presentation, appearance, and work ethic. Must have excellent communication skills and adhere to an elevated level of customer service standards.
