Job Summary

 

The RN physician practice supervisor provides day to day management of the assigned provider office.  Provides on-site supervision and coordination of both operational and clinical services. Responsible for managing staffing, payroll, patient and provider schedules, maintaining the environment of care and the general day to day operations of the practice. In addition, responsible for functioning as a member of the staff within the limits of their clinical expertise.   Works collaboratively with the Medical Director and other providers to provide safe, high-quality care that meets/ exceeds patient expectations.  Works collaboratively with, and under the direction of the Regional Practice Manager or Director.

 

Essential Job Functions

Provides daily staffing management of the physician practice. Responsible for the staffing schedule ensuring adequate coverage to meet patient care needs. Prepares provider monthly coverage/rounding schedules – including entry into electronic system and notification of others as needed. Monitors staff time and attendance. Submits payroll. Flex’s staffing schedules and assignments to insure appropriate coverage. Holds staff accountable on a daily basis for quality and efficiency of operations, identifying and providing feedback to manager regarding performance issues. Participates as part of the office leadership team, encouraging staff involvement in improving performance, efficiency and problem solving. Assists in budget preparation and other activities to assure financial stewardship. Responsible for daily ordering of supplies and equipment. Manages daily surety of personnel, patients and families. Ensures staff incorporate national patient safety goals into practice. Holds the required fire and safety drills at the site. Manages the daily service excellence and service recovery efforts of the practice. Interacts with patients, responding to the client service recovery issues in accordance with the Excela Health Mission and Vision, referring to the manger when outside scope of authority. Participates as part of the office leadership team to identify service excellence issues and develop initiatives to improve performance. Acts as a resource to the staff to address and resolve customer service issues. Maintain continuous compliance with all regulatory agencies. Maintains continuous survey readiness at the practice site level. Monitors compliance with all standards, policies and procedures, reporting to the manager any areas of non-compliance for follow-up. Demonstrates leadership. Demonstrates an ability to solve problems independently and seeks assistance from immediate supervisor when appropriate. Maintains authority for actions taken. Delegates duties appropriately. Effectively functions as a resource person. Acts as a patient advocate. Performs effectively in the role of preceptor/mentor to new hires and/or students. Assists in maintaining/decreasing organizational/departmental costs. Other duties as assigned.

 

Specialty Functions

Supervises clinical staff to assure care is safe and high quality and in accordance with regulation, policy and standards. Delivers direct and indirect patient care in accordance with the RN Practice Act, hospital/physician practice policies, procedures, protocols and other professional standards of care. Collects patient health care data, including VS, weight, chief complaint and pain assessment focusing on the physical, psychosocial, age, cultural and spiritual needs of the patient. Involves the patient/family and other health care providers when appropriate. Prepares patient for and completes treatments/testing as ordered by the physician. Assists the physician as needed Administers medications/immunizations using appropriate routes and techniques specific to age of the patient. Complies with completeness, accuracy and timeliness of documentation Completes an initial assessment of the patient’s health history, learning needs and barriers, physical, psychosocial, cultural and spiritual needs and reassesses annually. Provides education and instruction, within their scope of practice, to patients and families. Assists in assessing the patient's educational needs and identifying educational barriers. Provides educational material and/or instructions based on assessed needs. Documents all education/instruction provided including topic, individual provided to and understanding. Provides for patient safety in compliance with hospital and physician practices policies. Utilizes two forms of patient identification before implementing any form of patient care. Labels all patient specimens with identifiers per policy. Uses patient identifiers on all written documentation, including notes and point of care testing results. Assists in compliance with all regulatory agency requirements. Performs quality control testing for all point of care testing per policy. Participates in non-punitive medication reporting. Adheres to infection control process, including standard precautions, to reduce the risk of acquiring or transmitting infections Performs POC testing as ordered by the physician. Identifies results that are out of acceptable range and follows up prior to performing patient testing. Uses two patient identifiers, name and DOB, prior to testing. Accurately records patient test results on appropriate result form and testing log Coordinates communications between patients/families and physician practice, pharmacies, specialists, and insurance carriers. Provides advice based on protocols and physician instructions and directs patients to the appropriate level of care. Facilitates patient's access to prescription refills based on physician order. Obtains prior authorizations and /or assists with indigent programs per physician order based on the patient's financial status or insurance coverage Demonstrates leadership by utilizing the concepts inherent to the practice of professional nursing. Demonstrates an ability to solve problems independently and seeks assistance from immediate supervisor when appropriate. Maintains accountability for actions taken. Prepares forms, copies records, and responds to request per policies and procedures. Assists in maintaining the patient's medical record to facilitate filing and retrieval of information Participates in all other office functions as necessary.

Required Qualifications

 

Graduate of an accredited nursing program. One (1) to two (2) years of experience in a physician practice. Strong leadership ability, good organizational skills, independent and critical thinking skills, sound judgment, and knowledge of legal aspects and liability of nursing practice. Strong ability to communicate complex and/or controversial topics and concepts to a wide and diverse audience. Knowledge of basic Office Equipment such as copier, fax machine, etc. Excellent communication, interpersonal and organizational skills Functional skills on PC and related software

 

 

Preferred Qualifications

 

Bachelor’s Degree in Nursing preferred. Two (2) to three (3) years’ experience as office manager or lead in a medical office or clinical department.

 

License, Certification & Clearances

Current licensure to practice as a Registered Nurse in the State of Pennsylvania Current Basic Life Support (BLS) approved curriculum of the American Heart Association (CPR and AED) program. Act 33 with renewal Act 34 with renewal Act 73 FBI Clearance

Supervisory Responsibilities

 

This position has direct supervisory responsibilities and serves as a coach and mentor for other positions in the department. Management responsibilities include hiring, coaching, skills development, recognition and rewards, staff productivity and performance management.

 

Position Type/Expected Hours of Work

 

Incumbent will be scheduled based on operational need (rotate shifts, standby, on-call, etc.). Travel may be expected locally between Excela Health locations.
