Overview Position Overview:The Group Reservations Coordinator will play a key role in managing group bookings and ensuring a seamless reservation experience for group guests at Westin Frenchman's Reef. This position is responsible for coordinating all aspects of group reservations, ensuring accuracy, and providing excellent guest service. The ideal candidate will have a strong attention to detail, excellent organizational skills, and the ability to collaborate effectively with various departments to meet guest expectations.
Key Responsibilities:Group Reservations Management: Process and manage all group reservation requests, including inquiries, bookings, and modifications, ensuring accuracy and timely responses.Communication: Serve as the main point of contact for group leaders, travel agents, and internal teams regarding group bookings, block releases, and payment schedules.Coordination with Sales Team: Collaborate closely with the sales and events teams to ensure group room blocks align with event needs and guest requirements.Room Block Management: Oversee group room blocks, monitor cutoff dates, and work with the front desk and revenue management teams to release unused inventory.Reporting: Generate and distribute daily, weekly, and monthly reports on group reservations, including pickup reports, cancellation statistics, and revenue projections.Guest Relations: Address any issues or special requests from group guests, ensuring a high level of customer service and satisfaction.Internal Collaboration: Work closely with the front office, housekeeping, and other departments to ensure all group needs are met and that the guest experience is seamless from check-in to check-out.
