Required to be present for onsite meeting 1x month in Peoria. Required to be present for quarterly onsite meeting which could be scheduled for 1-3 days in Peoria. POSITION SUMMARY: As a pivotal member of our team, the Research Program Analyst is responsible for overseeing multiple related projects and initiatives ensuring they align with goals and objectives of the OSF research enterprise. The analyst assumes a critical role as a resource and subject matter expert in the intricacies of highly regulated research environments. Responsible for coordinating policy development and maintenance processes, managing research-related database and software systems, and facilitating communication and education within the Research Administration team, this position navigates the complexities of regulatory compliance with finesse. With a keen focus on maintaining departmental communications, website, and portal content, the analyst leads special projects and collaborates on continuous quality improvement initiatives, leveraging strong analytical skills to optimize processes. Additionally, the ideal candidate should possess exceptional technical writing skills with a demonstrated proficiency in proofreading and written communication, capable of producing polished documents tailored to a high-level audience, including executives in the C-suite. PRIMARY JOB RESPONSIBILITIES AND ACCOUNTABILITY: Act as a resource and subject matter expert on regulatory matters, continually assessing business needs and regulatory requirements. Modify policies, forms, processes, educational materials, and departmental communications as necessary, ensuring alignment across all related channels. Serve as the primary policy coordinator for Research Administration. Draft policies, establish and manage intake/submission processes for policies within OSF's policy system, and coordinate the Research Policy Workgroup. Coordinate departmental database and software systems, functioning as the subject matter expert and system coordinator. Develop and revise all Research Administration forms, ensuring data accuracy and reporting integrity. Serve as the main point of contact for Research Administration systems maintenance. Develop and deliver educational programs and facilitate communication among the Research Administration team, investigators, Institutional Review Boards (IRBs), collaborating departments, and leadership. Oversee the redlining process and manage the execution of research-related agreements. Coordinate relevant departmental communications, including updates to the website, portal, and email announcements. This may involve creating and drafting content for approval by departmental leadership. Maintain the departmental website and portal in collaboration with the Marketing and Communications team. Regularly evaluate website and portal content against industry trends and identify opportunities for enhancements. Propose and draft content for approval by departmental leadership. Craft clear, concise, and polished documents tailored to a high-level audience, including executives in the C-suite, demonstrating exceptional technical writing skills and proficiency in proofreading and written communication. Lead special department projects, such as compliance-related process initiatives, educational events, and the development of portal/website pages. Collaborate with the Research Administration Team on continuous quality improvement activities and educational initiatives. Qualifications REQUIRED QUALIFICATIONS: Education: Bachelor’s Degree Experience: 5 years in healthcare or academic setting. 5 years clinical research experience demonstrating proficient knowledge of the rules, regulations, and guidance on conducting human subjects research. Planning, coordination, execution of multiple initiatives or projects keeping with strict project timelines. Other Skills/ Knowledge: Excellent interpersonal and communication skills. Solid computer skills, including proficiency with Microsoft software. Strong analytical and problem-solving skills, with the ability to be detail oriented. Exceptional technical writing skills. Proficiency in proofreading and written communication skills. Demonstrated ability to gather, assemble, interpret, and use complex data to develop actionable steps for process improvement and optimal outcomes. Proven capability to train individuals and provide education to small groups effectively. PREFERRED QUALIFICATIONS: Education: Master's Degree Experience: Research Administration and Regulations within our niche industry. Experience in conducting and/or overseeing human subjects research (e.g., terminology, methodology, IRB, ethics, compliance, etc.) Familiarity with research administration/clinical trial management systems, IRB and/or electronic document handling programs (e.g., IRBNet, IRBManager, Cayuse, CITI).
