Reporting Associate

Job Description:

The Reporting Associate is responsible for the timely completion of both production and constituent ad hoc reports. Reporting to the Associate Director of Business Intelligence, the incumbent will provide support to University of Florida Advancement (UFA) in the area of data downloading and uploading, and the creation of interactive reports. In addition, work with individual users to design, code and test reports, and determine specific reporting requirements. This is a professional position exercising independent judgment and discretion. This position is open to remote candidates, preferably within the state of Florida. Remote employees must be willing and able to travel to Gainesville as needed.

Project Management & Documentation

Responsible for the creation, maintenance, and dissemination of both system and user documentation related to current systems in collaboration with Business Intelligence staff.  Devise creative ways of using business intelligence technology to improve the office's efficiency and effectiveness. Manage and appropriately route all requests for data-related services through the Salesforce case help system. Coordinate all imaging requests that need to be uploaded to the Research tab in the UFF file storage.  Serve as a point person for projects led by the Business Intelligence leadership team.  Assist with the collection, analysis, and display of data in charts, tables, or other formats. Take detailed technical notes at meetings to distribute to participants and provide follow-up reminders of action items for those responsible so that they can be completed in a timely manner. Review, critique and update technical documents for internal and external audiences. 

Technical Support

Provide support to the Salesforce Alumni and Development software system and Advancement Performance, and create/maintain sub systems (database) to enhance the application. Collaborate with staff originating, handling, processing, or receiving reports to identify problems and gather suggestions for improvement.  Assist with providing technical support to the office as needed, by investigating, troubleshooting, and solving minor user questions related to database information. Handle user accounts by ensuring proper level of security rights to Salesforce according to employees' roles and terminating access when appropriate.  Identify enhancements and adjustments to current process to improve self-service reporting and end user experience. 

Ad-Hoc Reporting

Analyze requirements and create reports to support fundraising efforts, event planners, alumni relations officers, and work closely with Gifts & Records, Annual Giving, and the Vice President's Office. Projects include but are not limited to defining audiences for and creating mailing lists, annual giving solicitations, payroll deduction reports, process that creates Annual Performance Plan (APP); formulating standards for and recommending fundraising statistics for university accreditations, college rankings, grant proposals, and university governance; and prioritizing prospective donors for fundraiser visits. Create reports from the Snowflake database using SQL. Integrate with PeopleSoft, Annual Giving call center, external, and customer advancement data. Assist in determining specific reporting requirements, work with individual users and design, code and test reports. Assist in maintaining Salesforce reports and SharePoint site for production reports. Develop and maintain in-depth knowledge of all the functions within Business Intelligence. Handle inquiries independently. Support Operations by communicating clearly with stakeholders and external staff about the internal functions and processes of the Center of Excellence to appropriately direct requests, identify needs, and ensure appropriate resolution using high customer service standards.

Data Integrity

Assist in creating databases that satisfy the needs of the requestors, presenting data for different users and functions. Perform routine uploading and downloading of data into salesforce and Snowflake. Create and maintain data templates to improve data upload and integrity. Prepare data from external sources for integration into the Salesforce database.

Office Management

Coordinate supplies and office purchases. Contact office vendors, suppliers, and other departments to keep office organized and running smoothly. Coordinate and handle all administrative tasks related to vendors and budgets for Business Intelligence, including contacting vendors, filling out disbursement-related paperwork and keeping track of contracts and related paperwork.  Coordinate meetings and events for the Business Intelligence departments.  Expected Salary:

$50,000-$60,000; commensurate with education and experience.

Minimum Requirements:

A bachelor's degree in an appropriate area of specialization.

Preferred Qualifications:

The ideal candidate will possess:

One to two years progressively responsible programming experience in the Client/Server, Snowflake or other relational databases preferred. One year of database reporting experience in a college or university setting. Strong logical thinking and analytical skills. Accuracy, attention to detail and problem-solving skills.  Effective time management and organizational skills. Ability to work independently as well as collaboratively with a team. Exceptional written and verbal communication skills, strong interpersonal abilities, and the capacity to engage effectively and collaboratively with a wide range of individuals are essential.   A commitment to and support for workplace inclusion in all its forms; strong project management skills; experience in a data-drive environment; and the capacity to lead, influence, and inspire others are essential.   Customer service experience High proficiency in Microsoft Office products, especially Excel and Access. Experience with Salesforce or other fundraising database or CRM tool; structured query language (SQL) using tools such as, Snowflake or Toad Data Point; Business Intelligence tools, such as Cognos and PowerBL.  Special Instructions to Applicants:
