What you will do
Purpose of the Role: The SHEQ & Lean specialist plays a crucial supporting role in the safety management team by assisting the Safety (SHEQ) Manager in implementing and monitoring safety programs and initiatives. The role focuses on ensuring that safety policies are effectively executed, compliance with regulations is maintained, and that a culture of safety is promoted throughout the organization. The Safety Coordinator will handle day-to-day safety operations, support safety training, and aid in the investigation and resolution of safety incidents.
Reporting: This position reports to SHEQ Manager.
Job Objectives:
Safety Policy Implementation:
Support the Safety (SHEQ) Manager in the development, implementation, and ongoing refinement of safety policies and procedures.
Ensure safety policies are communicated effectively to all employees and provide support in their implementation.
Inspections and Audits:
Conduct regular safety inspections and audits across various departments and facilities to identify potential hazards and areas for improvement.
Prepare detailed inspection reports and work with the Safety Manager to address identified issues.
Partake in any external health and safety inspections or audits authorized by Volvo Group SA.
Safety Training and Awareness:
Assist in the development and delivery of safety training programs for employees, including new hire orientation and refresher courses.
Maintain training records and ensure that all employees are up to date with required safety training.
Incident Investigation:
Support the investigation of workplace incidents, including accidents, near-misses, and safety violations.
Collect and analyses data, prepare incident reports, and help develop corrective action plans to prevent future occurrences.
Safety Performance Monitoring:
Monitor key safety performance indicators and metrics to assess the effectiveness of safety programs.
Prepare regular reports for the Safety Manager and senior management on safety performance and compliance.
PPE and Safety Equipment Management:
Assist in the management and distribution of personal protective equipment (PPE) and other safety equipment.
Ensure that PPE is properly maintained, and that all safety equipment is in good working condition.
Regulatory Compliance:
Stay current with relevant safety regulations, standards, and industry best practices.
Support the Safety Manager in ensuring that the company’s safety practices comply with local, national, and international regulations.
Documentation and Record-Keeping:
Maintain accurate records of safety inspections, training sessions, incidents, and corrective actions.
Assist in preparing safety documentation for audits and inspections.
Employee Support:
Together with the health and safety representative, act as a point of contact for employees with safety concerns or questions.
Provide guidance and support to employees on safety-related matters and promote a proactive safety culture.
Environment:
Work towards ensuring dealers reach Zero waste to landfill Work closely with service provider appointed to by VGSA to secure the journey
Quality:
To maintain electronic quality management system (QMS) To conduct Internal quality audits as per ISO9001-2015. To follow up and close out nonconformance’s and observations. To compile and conduct Management reviews. Content is to encourage corrective action, preventive action and continual improvement of the profit centers. To conduct approved suppliers’ audits. To assist dealerships to formulate preventive actions. To facilitate and assist with external audits. To ensure QMS with internal audits and quality management reviews.
Lean:
Implement 5S across the organization focusing on Safety, Quality, and efficiency Implement lean for retail within the dealership organization Maintain a sustainable continuous improvement culture within the dealership Conduct lean for retail training as required Coach staff as well as senior management on lean principles and practices Analyze current work practices identify areas for improvement and coach staff on how to improve business processes. Devise and test solutions and roll out new ways of working Conduct risk assessments on processes and tasks within each department Process mapping, value stream mapping, identifying inefficiencies in productivity with a particular focus on layouts Coach and suggest changes that can cut waste from operating procedures Implement daily improvement meetings with an escalation process so that problems can be effectively addressed, and communication can flow throughout the organization Deploy appropriate methodologies to problem solving and support teams to solve problems. Perform root cause analysis and resolve problems Carry out time and motion studies to support productivity improvements Implement standard work, visualization, and error proofing Support the business in establishing “best practice” Check integrity of branch morning meeting/s. Attend LEAN feedback meetings. Assist with Volvo compliance Audits Support special safety projects or initiatives as assigned by the Safety (SHEQ) Manager. Assist in emergency preparedness and response planning. Qualification & Job ExperienceRelevant certificate in Occupational Health and Safety, Environmental, or a related field. Previous experience in a safety role, with a focus on supporting safety management activities. Certification in safety management (e.g., NEBOSH, NQF 5 Safety Certificate) is advantageous. Experience in a similar industry is preferred Key Competencies
Good knowledge of safety regulations, industry standards, and best practices. Quality control abilities. Strong organizational and time-management skills. Excellent verbal and written communication skills. Ability to work independently and as part of a team. Strong analytical and problem-solving abilities.
