High-profile investment management firm headquartered in Manhattan is seeking to hire a Temporary-to-Permanent Receptionist / Personal Assistant to the CEO for the newly opened office in Palm Beach Gardens. This position will start ASAP, requiring 5 days on-site from 8am-5pm as the sole administrator for a small team. This is an awesome opportunity to wear many hats with a growth track of becoming the senior support for the Founder, while learning from other team assistants in New York City.
Responsibilities:
Administrative support for CEO/Founder while he is in Florida officePartner with CEO's NYC Executive Assistant to provide seamless administrative supportAdministrative support for two traders and any additional visiting employeesCopying, filing, phone coverage and general clerical dutiesPick up and deliver lunch orders, plate lunches and other miscellaneous deliveries throughout the dayValet parking CEOs car in reserved spotPersonal support for the CEO, including: running errands, heavy calendar management, contact maintenance, making personal appointments, gift buying, event planning, vacation planning and travel arrangements. Research - ability to be resourceful and track down information/unique itemsLog all guests into the building security systemMeet and greet guests - seat and offer drinksManage conference room - coordinate all meeting requests, maintain tidiness, set up and break down of meetingsManage all incoming and outgoing mail, receive and log all deliveries from FedEx, UPS and messenger servicesReplenishing and ordering stock in office supplies and stock in kitchen; communicate with the Director of Administration to ensure adequate stock levels at all timesFill paper trays, check toner levels, clear jams in copy machinesWalk the floor on a regular basis and check lighting, floors, carpets, kitchen for any issuesSubmit ad hoc requests with the building including maintenance repairs and requesting ID cardsPoint person for Emergency Repairs and "fire drill" moments - leaks, alarms, unannounced visitors, one-off clerical requests, basic office maintenance repairs (broken furniture, doors, locks etc)Maintain tidiness in kitchen including washing and putting away dishesManage subscriptions and process invoices as neededQualifications:
Excellent communication and interpersonal skills - phone / email / verbalExceptional organizational and multi-tasking skillsTrue team playerAbility to remain calm and composed during demanding periodsProactive, motivated and "can do" attitudeWillingness to go above and beyondPunctual.
