We are looking for a Receptionist/Facilities Assistant located in Santa Clara, CA to join our HQ Facilities team, reporting to the associate manager of Facilities. In this in-office role, you will be the welcoming face of our office, ensuring smooth daily operations and a safe, organized environment. You will collaborate with the global Facilities team, manage office supplies and catering, and support onboarding and offboarding processes. You will also leverage your creativity for assisting with fun events and celebrations held throughout the year. This is an exceptional opportunity to join an organization on the peak of rapid growth. What you’ll do:
Serve as the "face of Infoblox" by greeting and welcoming employees and visitors in a professional and friendly manner
Issue and manage badge access, ensuring the security and safety of all building occupants
Participate in safety drills and emergency preparedness activities as a key member of the ERT
Oversee the timely and accurate delivery, packaging, receiving, and shipment of materials and documents and resolve any discrepancies with employees and vendors
Organize and set up office events, often in collaboration with various departments, including meetings, celebrations, training sessions, customer visits, volunteer events, and team-building activities
Work with the global Facilities team on team goals and projects
Forward voicemails and scan important and confidential documents, ensuring they reach the appropriate recipients
Maintain a clean and safe working environment through general upkeep and tidying of the facility while monitoring snack and supply stocks
Perform weekly facilities onboarding for new hires and offboarding for terminated employees, including desk setup
Prepare and post internal communications, manage the office calendar, update our department intranet page, and track data metrics
What you’ll bring:
1-2 years of receptionist experience or other job-related experience
Proficiency in Microsoft Office 365, including SharePoint, Teams, PowerPoint, and Outlook; OfficeSpace and Canva experience are a plus
Understanding of FedEx software and international shipping is a big plus
High degree of creativity with the ability to generate innovative ideas for events, including themes, activities, and decorations
Detail-oriented and proactive in identifying and solving problems
High level of customer service, with the ability to anticipate needs and seek solutions to problems
Experience with building access systems and issuing badges; Lenel S2 and Envoy experience is a big plus
Solid interpersonal and communication skills, both written and verbal
Some experience with audio-visual equipment or a willingness to learn
Various physical abilities including lifting and carrying (up to 40 pounds), intermittent walking, bending and standing, performing heavy keyboarding and sitting for extended periods of time, good visual acuity to read documents and labels, and the ability to hear fire alarms and other auditory signals for safety and security purposes

Have general knowledge of facilities-related software such as Envoy, Lenel S2, and OfficeSpace
Assist in meeting/event support and daily operations
Participate in the ERT program
Contribute to team projects for the People and Places team
Understand key contacts and direct inquiries appropriately
After about one year, you will...
Become a subject matter expert in one or more programs/applications
Independently plan and manage smaller events and meetings
Manage the Facilities calendar for tracking events and notifications
Gain working knowledge of Oracle, Concur, and the Office 365 suite
Actively participate in Learning and Development programs to enhance job skills

In the spirit of pay transparency, we are excited to share our compensation philosophy. At Infoblox, we believe in paying for performance. You can expect our employment offers to take many factors into consideration, including but not limited to the location of the role, internal equity, applicable past experience, individual skill set, education, and professional certifications. Please keep in mind that the range mentioned is the base salary range for the role. The typical base salary range for this position in Santa Clara, CA is $53,700 - $68,000 plus corporate bonus potential.
