 Responsibilities (Obligation to ensure that the action is taken):

 

Handle the front office – directing all visitors, including vendors, clients, candidates and customer appropriately. Screen incoming calls and direct them to appropriate departments, taking accurate and complete message when necessary. Order, manage and maintain an inventory of office stationery and pantry supplies, ensuring timely replenishment. To maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor logbook). To arrange flight and hotel booking for staff and visitors. Assist in coordination and scheduling of meetings, events including booking meeting rooms and managing catering arrangements. Coordinate and manage the day-to-day operations of the Office Assistants, providing guidance and support as needed. Oversee office maintenance and upkeep, liaising with facilities management to address any issues promptly. Manage routine office administrative duties, including filing, data entry, and document management. As petty cash custodian which is distributing the cash and collecting receipts for all purchases or any uses of the funds. To prepare PO/IPO and other necessary documents where applicable. Maintain a clean, organized, and professional reception area and ensure that all common areas are tidy and well-stocked Adhere to company policies, procedures, and confidentiality requirements. Perform other duties as instructed by the N+1 which contribute to the effective office management of the company. 

 

 

Requirements:

Education: Minimum Diploma in Business Administration, Office Management, or a related field. Experience in customer service is an added advantage. Experience: Minimum of 1-2 years of experience in a similar role. Skills:

a. Excellent verbal and written communication skills

b. Strong organizational and time management abilities

c. Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)

d. Familiarity with office equipment (e.g., printers, copiers, fax machines)

e. Basic understanding of office administrative processes and procedures
