Job Summary: Company: Live Nation Department: Facilities Management Location: Farringdon, London Reports to: Assistant Facilities Manager Working Hours: 8am-5pm or 9am-6pm Contract Type: Fixed term, 6 months Role Description An opportunity has arisen to join a facilities management team at the world’s leading music and entertainment business on a full-term contract. The position will report into the facilities coordinator and will work alongside new and existing roles within the facilities team. The main purpose of the role is to work parallel with the facilities coordinator and fully support with the day to day running of the office/business providing a 5-star customer service to Live Nation staff. Behaviours The following attributes determine how the role will be carried out and are required to be a success + Proactive approach + No job too big or small + Doesn’t shy away from a challenge + Taking pride in doing a great job + Willingness and committed to excellent service What the role includes + General office and reception duties - answering phones and forwarding calls in a timely manner, e-mails, greeting visitors + Helping and working with the reception manager with day to day and ad-hoc tasks/duties as and when instructed. + Taking staff photos, setting up and issuing security cards + Keeping a log of temporary user cards for contractors and visitors + Uploading staff photos to the intranet + Maintaining the visitor and maintenance log via envoy + Provide refreshments for external/internal and board meetings. + Set up catering for meeting room bookings working alongside the facilities + To ensure the smooth transition of calls from the main switchboard to the relevant people/department and dealing with general enquiries, including customer service enquiries for tours and festivals. + Booking meeting rooms as and when required. + Meeting and greeting clients in a warm and friendly manner. + Ensuring clients receive VIP treatment + To undertake general administrative duties as required. + Booking of taxis for staff and visitors. + Maintain and monitor stock levels around the building i.e. stationery. + Ensuring newspapers and fruit are distributed around the building i.e. tea points + Check the photocopier areas to ensure they are clear, tidy and free from paper recycling. + Issue passes to vendors and contractors and make sure they return accordingly and on time.
