RECEPTIONIST
**Description** **No phone calls, emails, unsolicited resumes from agencies or outside recruiters please.** **Compensation for this role: $21.00 to $25.00 per hour.** **General Responsibilities** Maintain open communication lines with all working relationships. Follow up to ensure items for which the job is accountable are performed Earn and maintain Internal and External customer’s trust Uphold the core values of the organization Work well with others to accomplish the mission of the organization and of the job **Specific Responsibilities** Answering Phones/ Greeting Visitors/ Managing Common Space Answer all phone calls for multiple offices, and transfer to appropriate extension/person, by: + Using WIP spreadsheet to direct calls from delivery drivers to correct Superintendent or Project Manager + Listening to voicemail in company voicemail box every morning, and forward to appropriate person + Directing job applicants to website Work with IT to keep phone system up to date, including: + Keep up to date with the list of phone extensions for all offices + Notify IT of phone system glitches Greet all visitors to the office in a courteous manner, by: + Notifying employees when they have a visitor + Directing visitors to correct conference room via calendar in Outlook + Directing walk-in job applicants to website. No personal meetings without interview Keep Lobby/ Conference Rooms/ Common Areas Tidy, by: + Making sure the lobby is neat and organized + Making sure all conference rooms are organized and have water and proper cleaning supplies + Making sure kitchens are clean and stocked + Notifying Property Maintenance of common space problems via online service portal + Notifying Office Manager of all other problems + Notify Cleaning Company of any problems/concerns via email. + Ensure ALL doors are locked and lights are off after office closes. Organize mail and shipping. Collect mail from mailbox every day, and: + Date stamp and open all incoming mail + Remove invoices from envelopes, date stamp invoice and sort according to job number, then submit to accounting + Remove checks from envelopes and submit to accounting via FedEx + Distribute mail to employee offices Create FedEx labels for all overnight packages, and: + Drop all FedEx packages at FedEx locations + Order FedEx supplies through website Sign in all arriving packages, and email recipient, and: + use packing slip to find job number if no addressee is noted Ordering Supplies Place order and pick up order from Sam’s/King Soopers, etc. for breakroom snacks and supplies. Order office supplies from Eon online catalog Twice-monthly check of all other office supplies and cleaning products, paper, water, envelopes etc Order supplies as requested for jobsites Order supplies as requested for specific departments Work with Eon Rep to make sure the company supply list is up to date Order Business Cards as requested, and: + Make sure the Business Card Order Form is up to date + Get appropriate approval for all orders Place Clothing Orders as requested by DBU. Employee Recognition Monthly Birthday and Anniversary Lists of all employees sent from Lakewood office: + Emailing PDF to all office admins and jobsite foremen General Check copy areas daily and keep them tidy and well supplied + Set up and Schedule printer/plotter repairs as necessary Help with special projects and events company wide + Help Organize parties and Events (ie. Degree in related field is preferred. Three years’ experience in an office environment.
