Overview:
As the first face and voice of Pape-Dawson Engineers, the Client Relations Specialist / Receptionist serves as a true brand ambassador—creating a welcoming and professional environment for clients, guests, and team members alike. This highly visible role is essential to delivering a positive first impression and upholding the company’s reputation for excellence and respect.
Responsibilities:
Greet all visitors and callers in a professional, courteous, and respectful manner
Provide prompt and thorough message handling and communication follow-up
Manage front office operations including conference room scheduling, visitor coordination, and lobby presentation
Coordinate catering needs and logistics for internal and client-facing meetings
Ensure conference rooms are clean, organized, and stocked with necessary supplies throughout the day
Process, route, and distribute sensitive and confidential documents with discretion
Oversee the pick-up and delivery of engineering documents in the front office
Qualifications:
Minimum of 3 years of experience in a front office or client-facing administrative role
Experience answering and routing calls using a multi-line phone system
Strong professional presence with outstanding interpersonal skills
Exceptional verbal and written communication abilities
Proficiency in Microsoft Outlook for calendar management
Proven organizational skills with the ability to manage multiple tasks and schedule meetings accurately
Dependable, trustworthy, and able to handle confidential information with integrity
Availability to work Monday through Friday, and able to work an 8-hour shift within the front desk coverage window of 7:30 a.m. to 5:30 p.m.
