Job Summary:
The Real Estate Portfolio Specialist will be responsible for the lease administration of regional real estate operations. This exempt role will be a part of our Facilities/Real Estate Operations department and report to our Real Estate Portfolio Manager. The role will support Acrisure partners to ensure smooth real estate transactions as well as assistance with additional ad hoc requests.
This is a hybrid role that will report to our Grand Rapids, MI office location.
Responsibilities:
Review, analyze and interpret executed leases contracts for agency partners, internal departments and legal counsel.
Proactively manage monthly/yearly lease renewal process and critical lease dates.
Coordinate projects with Real Estate and Facilities Department and our outside vendors.
Perform outreach to Acrisure partners regarding upcoming critical lease dates/events via email and phone.
Assist with the negotiation of commercial office lease agreements.
Partner with internal and external legal team to review and edit lease agreements and necessary legal documents (i.e. LOIs, estoppels, SNDAs, subleases, etc.)
Ensure lease obligations are fulfilled and documented and any issues resolved.
Successfully identify risks and formulate possible solutions of pending real estate transactions.
Perform timely and accurate project management administrative activities including issuing meeting minutes, purchase and change orders, verifying work, processing invoices, and updating project status.
Prepare, update and maintain various information databases including Monday.com and Visual Lease.
Ensure project deliverables meet client and company objectives and budget objectives are met.
Work with other departments to resolve tenant/landlord disputes and inquiries in a timely manner.
Assist and partner closely with other members of staff including but not limited to Facilities, Real Estate and Executive teams to ensure knowledge sharing and cross-team collaboration.
May perform other duties as assigned.
Requirements:
Advanced knowledge in Microsoft Office products including Excel, Outlook, PowerPoint, Word and Teams. Software knowledge of Monday.com or similar project management software helpful.
Visual Lease knowledge a plus.
Must have high level of professionalism and timely customer service focus
Must be extremely organized, detail oriented, and efficient with excellent verbal communications skills and the ability to effectively work with others.
Ability to prioritize workload with an attention to detail and willingness to complete projects in a timely and efficient manner.
Ability to work with little or no supervision.
Strong analytical and problem-solving skills.
Education and Experience:
Bachelor’s degree or equivalent experience in business administration, project management, real estate, or related field.
Strong budgetary, fiscal and expense management skills.
2 years experience with corporate and real estate contracts or contract administration preferred.
