Real Estate Analyst - Lease Administration

The Opportunity
This role will be based in Atlanta, GA.
The Real Estate Analyst - Lease Administration will report to the Director of Real Estate & Facilities and will support the Real Estate & Facilities function in managing its enterprise-wide real estate portfolio to become a world-class example of a corporate real estate and facilities group. Under the guidance and coaching of the Director, the Real Estate Analyst will interface with various individuals inside of and outside of Smurfit Westrock, including functional area peers and leaders across business and operating units as well as outside resource and service providers. The Real Estate Analyst will play a pivotal role in handling information, documentation, and communication as well as applying real estate experience, knowledge and practical assessments and analytical skills to various real estate matters.
Essential Duties and Responsibilities
* Initiate and complete lease abstractions and lease record updates in the lease admin system (CoStar Real Estate Manager).
* Ensure all real estate data and documents are complete, conform to established standards and conventions, and are properly uploaded into CoStar as well as on the Real Estate server location.
* Develop and maintain various SOPs including for lease admin, lease abstraction, CoStar administration, etc.
* Work with Lease Accounting, AP, Finance, Legal, Tax and other functions as well as with Landlords, Property Managers, Asset Managers, etc. to resolve discrepancies in CoStar, payments, security deposits, etc. and to provide real estate related data, details and documents.
* Coordinate Certificate of Insurance and related requests with Risk Management and landlords/property managers.
* Handle internal and external inquiries and data requests related to leases, agreements, contacts, invoices /payments, reconciliations, etc. with Accounting, Landlords and others.
* Review, record, evaluate and resolve lease invoices, statements, notices and reconciliations including any approvals for internal processing and challenges with Landlords.
* Generate Real Estate notices and communications internally to department/function distribution list(s) to inform regarding lease renewals, terminations, new leases, property sales, etc.
* Develop and generate lease expiration and other standard and ad hoc reports from CoStar; work with RE and other functions to develop, maintain or modify custom reports in CoStar.
* Participate in the development and implementation of lease forecasting procedure.
* Manipulate and develop useful dashboards in CoStar for RE and other users.
* Receive, open, review and evaluate Real Estate physical mail; determine what, if any, action is needed, confer with DRE and others as needed, and execute.
* Review Real Estate email and evaluate; determine what, if any, action is needed, confer with DRE and others as needed and execute.
* Check Real Estate voicemail and notate; determine what, if any, action is needed, confer with DRE and others as needed, and execute.
* Research and coordinate various real estate matters and projects as directed by the DRE.
* Work with DRE and others (e.g. Legal) to establish/confirm/enhance real estate data and documents protocols and standards.
* Support Facilities as guided by the Facilities Manager in various tasks.
* Become proficient and a subject matter expert on the various tools and resources.
Preferred Qualifications
* Bachelor\u2019s degree in real estate, law, business, or fields related to real estate or equivalent experience. Ga real estate licensure is a bonus.
* 5+ years of relevant experience in similar corporate commercial/industrial real estate as coordinator, analyst or similar role.
* Robust knowledge and familiarity with terms, principles, and practices of commercial/industrial real estate.
* High proficiency in CoStar Real Estate Manager, financial systems, and related platforms.
* Proven abilities to work successfully both independently and collaboratively across a variety of levels and functions.
* Agility to develop and maintain a high level of organization and prioritization while also handling a large capacity and volume under shifting priorities.
* Excellent written and oral communication skills with ability to recognize the need for modifying approaches to build rapport and trust while being clear with messaging, information and purpose; adeptness at initiating communication with previously unknown parties.
* Proven ingenuity, resourcefulness, ability to research, gather and verify information.
