R&D Analyst Program Management Office

Job Summary:

Consistently analyze processes and provides analytics and reporting tools/reports to support one or more areas of the Program Management Office (PMO). Demonstrates a deep understanding of business systems and the ability to apply critical thinking in interpreting information from various sources to assist in the analysis and reporting of portfolio, programs, and project metrics and continued system support and logic-based process improvements. Understands the New Product Development process and consistently demonstrates technical proficiency in system capabilities to provide improvement recommendations to PMO leadership. Knowledgeable of the Agile system or similar Product Lifecycle Management systems, including PLM software maintenance, data integrity, and troubleshooting IST issues. Able to translate project data into meaningful reports using Tableau, Excel, or other software tools. Able to assist PMO with communication with other cross-functional partners such as IST and other Supply Chain partners to ensure that existing and future system requirements and reporting tools support the global program growth agenda.

About the Role:

1.            Analysis and Reporting: Serves as the Analyst for the Program Management Office (PMO), assisting with project management data analysis for portfolios, programs, and/or projects as directed by PMO leadership. Identifies opportunities for improvement in data integrity to be shared with program and project managers in the NPD function responsible for the data's accuracy. Works with IST, Project Portfolio Manager, PMO leadership, and NPD Process leadership to create reports for project status, risk, activity status, resources, and other details to support resource management, project prioritization, and process improvements. Provides data to support processes and system improvement recommendations to drive the quality of data analytics and reporting tools. Provides support to team members for greater data integrity and reporting to support sound business decisions by leadership. Serves as a source of general Agile knowledge to the PMO. Is aware of timelines, assists PMs in tracking key milestones, and reports project progress against key milestones. Often makes decisions between limited alternatives to resolve problems of moderate complexity. Analyzes relevant Key Performance Indicators (KPIs) to measure and report on NPD and other programs. In consultation with senior PMO Team Members, develops and manages KPIs/metrics that allow for better visibility and monitoring of risks. Serves as supporting Agile contact between Global NPD, Latin America, and China Program Management for shared metrics and key performance indicators (KPIs). Consolidate and report on NPD metrics to deliver balanced scorecard results. Supports gathering relevant information/metrics that will be provided to senior team members to guide decision-making and planning. This includes reviewing the number of projects by category and Brand line to ensure accurate information is presented to leadership. Maintains data integrity, ensuring attention to detail of all global programs, projects, and project justifications by ensuring accuracy and completeness via the responsible program manager.

2.            Process Improvement: Analyzes and assists with improvements to KPI reporting, processes, and procedures and executes accordingly. Assists in developing and implementing NPD process improvements, including creating reports and communication plans for more efficient NPD processes. In consultation with senior PMO Team Members, develop and manage capabilities/metrics that allow for identifying opportunities for process efficiencies.

3.            PMO SharePoint, Job Aids and Training: Assists with identifying gaps and inconsistency process approaches among PMO team members. With minimal guidance, manages and maintains the PMO SharePoint site, including all job aids, agendas, minutes, and work instructions for project teams. Ensures all documentation is available for training and learning Agile and PMO software. Supports the NPD Process leader and PMO leadership in organizing training for the PMO organization and ensures NPD training, job aids, and other documents are current and available for cross-functional teams

4.            Agile Software Support and Project Template Management: Ensures all project templates are current and works with cross-functional partners to update activities, including dependencies, descriptions, and other data. Independently investigates and proactively collaborates across R&D groups and IT groups to resolve Agile administrator issues. With minimal guidance, manages template creation and maintenance for all project types (Global, Regional, Capital, and others as they are added), basic queries and searches as needed. Understands and implements changes that impact other projects and programs separate from current initiatives. Communicates updates or issues to program /project managers and team leads as appropriate. Supports senior team members in ensuring documentation is available for training and learning in Agile.

5.            PMO Resource Pool Owner: Acts as resource pool owner for PMO team to assign resources to projects. Regularly reviews resource allocation settings for PMO-owned activities to ensure calculations are correct for reporting and updates as needed or as directed by PMO leadership.

Skills & Experience:

Education:  Bachelor/University Degree or equivalent work experience is desired.

Experience:  3+ years in project management experience and/or product development, capital engineering experience. Plus 3+ years of Agile or similar Product Lifecycle Management experience required. Experience in Cognos, AMS, JDE, MS SharePoint, MS Excel, MS Word, MS Outlook, MS Project; cosmetic/beauty/nutrition industry environment experience is preferred.

Additional Skills & Abilities:

•              Must be highly proficient in Agile or similar Product Lifecycle Management software, tracking/resource system knowledge preferred; as well as MS Excel (development of spreadsheets, import/export and linking); MS Word; MS PowerPoint; MS Project, and MS Outlook. Must be able to analyze complex data and extract meaningful information to consolidate and present recommendations.

•              Must possess understanding of the Mary Kay NPD process and those analytical methods that support them.

•              Must be able to analyze global project data for Regional programs and projects across all product categories.

•              Must be flexible, well organized, deadline oriented, possess strong attention to detail, handle multiple activities/tasks well under pressure.

•              Must have attention to detail, ensures data integrity.

•              Must have good oral and written communication and interpersonal skills

•              Must have a strong, assertive personality balanced with a respect for others; must be able to communicate data and recommendations in a manner that will drive results.

•              Must have a strong knowledge of the responsibilities of all departments involved in new product launches, capital/engineering installations and an understanding of required sequence of events.
