Purpose and Scope:
Performs a range of procurement analysis/expediting tasks and verifies material against receiving documents, system data, and/or financial system data.
Essential Responsibilities:
• Work with different heads of department to monitor inventory levels, assess supply vendors and ensure delivered supplies meet quality standards.
• Contact vendors, place orders, verify supplies, manage supply requisition and communicate with suppliers to determine expected delivery dates and inform Project Managers of potential delays.
• Maintain proper documentation and conduct regular audits to ensure accuracy in financial reports.
• Ensure interdepartmental communication for improved coordination of productive operations.
• Monitor project delivery timelines, check work quality against company requirements and specifications and ensure compliance with regulations.
• Collaborate with Procurement Lead for updates on delivery timelines.
• Compile, record, and report project performance and progress to management and key stakeholders.
Perform all other position related duties as assigned or requested.
Minimum Position Knowledge, Skills, and Abilities Required:
Technical degree or certification in Contracts, Procurement, Logistics, or related fields from an accredited civilian or military institution with at least 4 years of relevant experience. Prior experience in warehouse / inventory / procurement in a maintenance environment or logistics warehouse setting (e.g. facilities, construction). Possess prior experience in a fast-paced environment. Excellent problem-solving and analytical skills. Ability to prioritize tasks, manage multiple deadlines, and work independently. Strong communication and interpersonal skills, with the ability to effectively communicate with maintenance personnel, suppliers, and other internal/external stakeholders. Understanding of basic maintenance procedures and planning principles. Proficient in Microsoft Office Suite (Word, Excel). Experience with procurement/ financial management systems is desirable.(e.g., Maximo, Costpoint). Knowledge of supply chain management is desirable. Possess a valid driver's license and be able to obtain a government driving permit. Position may require travel. Position may require the ability to pass and maintain a Security Clearance.
Preferred Qualifications:
Additional experience/education in Federal Acquisition Regulations (FAR). Working knowledge of procurement lifecycle, inventory control principles and warehouse processes. Ability to work independently and multitask. Experience with inventory management systems.
Work Environment, Physical Demands, and Mental Demands:
Typical office environment with no unusual hazards, occasionally exposed to moderate noise occasionally required to lift up to 25 pounds. Constant sitting while using a computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication and constant mental alertness. Must possess planning/organizing skills and must be able to work under deadlines. May be required to bend, kneel, and reach.
